Build Assemblies Zero Not Matching Stock

I noticed this with QB Premier 2020.

I am not able to build a product because the QOH is showing up as Zero; however, when I look at the Item List I see 20K quantity. I have no QOH adjustments made as verified through Reports > Show Reports. I saw this earlier and the way to clear up the fluke was to re-enter the Bill/PO and re-add the inventory (a tedious process). I was able to build fine after re-creating those transactions.

Is this a bug or user error? When I ran data verification check, nothing came up. Thank you!

Build Assemblies Zero Not Matching Stock

The workaround doesn't work either. I just re-added the inventory w/ the AP workflow for a specific product and successfully built a product. The Build Assemblies screen showed the possibility to create 150+ products. However, when I go do something else in the app and try to re-build the same product, it shows 0 buildable? Huh?

I want to note that a lot of my items had incorrect QOH Adjustments made because I manually keyed in the QOH. This was due to my poor understanding of the AP workflow. I did Ctrl + D all QOH Adjustments and have properly gone through the AP workflow for each item in my stock. However, I didn't make the old items Inactive, as suggested. I simply added a new QOH with the API workflow which automatically added the QOH for me.

Also, just noticed that if I close and re-open the app, the QOH in the Build Assembly screen now again shows 150+ buildable products. What?!

Build Assemblies Zero Not Matching Stock

Hi there, sjangity.

I suggest running an Item QuickReport before you build an assembly. This way, you're able to see the available items for building an assembly. It has to exist on or before the date of the build.

Here's how:

  1. Click the Lists menu.
  2. Choose Item List.
  3. Click the Reports menu at the top. Please note when clicking the Reports menu you're in the Item list page so you have an option to select the Quickkreport.
  4. Choose QuickReport.
  5. You can click the Customize Report button to customize your report to see the specific information you want to view.
  6. Then, hit OK.

The Item List may be damaged if you're still unable to build the product even if the items are available. That being said, I suggest re-sorting the list to put the items back to the default order. Before doing that I recommend creating a buck up of your company file first to save points for your accounting data.

Once done, you can now start re-sorting your Item list. Follow the steps below.

  1. Click the Lists menu. Then, select Item List.
  2. Click the Item button drop-down list at the bottom of the page.
  3. Choose Re-sort List.
  4. You'll be prompted with Are you sure you want to return this to its original order? hit OK.

For additional information on how re-sorting helps you with your lists in QuickBooks Desktop, you can check this article: Re-sort lists in QuickBooks Desktop.

Once done, you can click this article to see the detailed information to start building your products: Track the products you manufacture.

Please refer to this article to see a table that contains the maximum number of list entries you can make in QuickBooks Desktop: Maximum number of list entries (list limits and custom fields).

Please know that you're always welcome to post if you have any other concerns. Wishing you and your business continued success.
