I'm glad to see you posting here regarding modifying a sales transaction. I can provide clarification about the options available for invoice customizations in QuickBooks Online.

 

Yes, you can move the fields to different locations and change the size of the fonts. However, you'll need to make the changes first in your Word file before importing it into QuickBooks.

 

We'll follow the format of your custom invoice as much as possible. Check out my sample screenshot below:

 

 

Same thing with changing the name. It's possible and can be done by changing the ship-to name in your DOCX file. Here are some additional screenshots for your visual guide:

I guess I'm not understanding how I can use Word to do this. I don't see an option to export or import something from Word.

You can visit Microsoft's website for resources on how to use Microsoft Word.

 

If you had your Import Styles feature enabled in QuickBooks Labs before 6/25/2021, you can upload the DOCX file from your Custom form styles screen.

 

Here's how:

 

  1. Use the Gear icon.
  2. Go to Custom form styles.
  3. Click New style.
  4. Select Import style.


     
  5. Upload your DOCX file and follow the presented steps.

We are new to QB Online, so, no, it was not enabled before 06/25/21. 

Is there another option for us then?  I really need to be able to move fields around, and have a free-form text box for "description of work".

Thanks for the prompt reply, @Jodi-LK. I'll share some insights about the Import Style feature in QuickBooks Online.

 

I understand the urgency to get relevant features available in the program. Last July 1st, 2021, the Import Styles feature was disabled for newly created companies. Any company that has not already enabled Import Styles from QB Labs after 6/24/2021 will no longer have the option to see this feature.

 

I can certainly agree that reinstating the Import Styles feature could be useful for you and your business. With this, we can raise this suggestion to our Product Developers to make sure your voice will be heard and put this into action. I'll show you how:

 

To log your product suggestions to our developers, follow the steps below:

 

  1. Tap the Gear icon and select Feedback.
  2. Enter your suggestion in the box. Make sure to enable the browser's pop-up to open the Feedback screen.
  3. Once done, press Next.

Also, I suggest visiting our Apps menu within QBO. You can scan through the center to get a better comparison of the available apps to achieve your goal of moving field locations via the import process.

 

Here's how:

 

  1. From the left menu, select Apps.
  2. Go to the Find Apps tab.
  3. Enter the app name in the search bar or select the Browse category drop-down menu to check out different apps.
  4. Once you find the app, choose its tile to see the reviews and pricing.
  5. To start the signup process, click Get App Now. Then, select Install.

I too need to move the ship to box, and change the name to Service Address. I am a contractor that needs this box, it used to be on the right side, but now it shows up in my envelope window along with the billing address! Yes, two addresses in the mailing envelope window! When will moving these boxes and fields be an option?

For now, there's no option to move the Ship To field or rename it when customizing your invoice template. 

 

However, you can explore third-party applications that offer additional customization options for your sales forms. To find and integrate these apps, follow these steps:
 

  1. Go to the Apps menu and look for the Find Apps tab.
  2. Click the drop-down list for Browse categories, then click Be compliant and organized.
  3. Select Document management.

 

While we're unable to provide a specific timeline for when these options will be available, I recommend submitting a feature request to our product engineers. Our product development team regularly reviews popular customer suggestions for consideration in future updates.
