Chart of Accounts

Hello, I want to use sub categories in our COA. We have created a budget with sub categories for each ledger and I want to track the actual expenses the same way.  An example of what we want to do follows:

 

8150 Conferences (would be the rollup account)

8150.1 would be for the Pretzel conference

8150.2 would be for the Tacos conference

8150.3 would be for the Steak conference

 

I read that QB online sorts the COA by the first 3 digits so the above traditional method of tracking would not necessarily sort properly.  Is it possible to extend the default sort to 4 or 5 characters?  Should I use letters after the period instead of numbers?  Any suggestions on how to accomplish this would be appreciated.

I can share some information about adding account numbers for the Chart of Accounts in QuickBooks Online (QBO).

 

Yes, you can add those numbers to your Chart of accounts. You'll just have to turn on account numbers. Then, assign any number to your accounts. 

 

Here’s how to turn it on:

 

  1. Go to the Gear icon () and select Account and settings.
  2. Click the Advanced tab and choose Edit () in the Chart of accounts section.
  3. Turn on the Enable account numbers. If you want account numbers to show on reports and transactions, select Show account numbers.
  4. Click Save and then Done.

 

To add the account numbers:

 

  1. Go to the Gear icon () and select Chart of accounts. 
  2. Select the Batch edit icon (✎) above the Action column.
  3. In the Number column, add account numbers.
  4. Click on Save.

Hello there, @LBSusan. I'll help you get through this to accomplish your tasks inside QuickBooks Online (QBO).

 

If you're referring to having the accounts, follow their assigned number. You'll want to ensure you're sorting them out by Numbers and not by Name. This way, the program will recognize the task you're trying to perform and re-arrange the accounts to follow the numbers system you set.

 

Also, I'd like to confirm that you can extend and use 4 or 5 characters or even use letters after the period instead of numbers. The program will still recognize the action you're trying to accomplish.

Good morning

 

Thank you for the information.  I have reviewed the articles.  We are already using numbers in our chart of accounts.  When I click sort on the numbers column, I get the following:

 

10010

10012

10040

1040

1050

 

I expected the sort to give me traditional COA returns in that the 4 digit codes would come before the 5 digit codes.  

 

Regarding my original issue of creating sub-accounts, QBO sorts those funny too.  For example:

8205 - rollup

8205.1 - type a

8205.15 - type 0

8205.2 - type b

8205.3 - type c

 

In this example, I would expect 8205.15 to show up after the single digit extensions.

 

Is there any way to change this sort order so it shows like the example below?

8205 - rollup

8205.1 - type a

8205.2 - type b

8205.3 - type c

8205.15 - type 0

 Allow me to join the thread and help share a little more information about sorting orders on the chart of the account page. 

 

In the Chart of Accounts page, you can click the arrow up beside Number to show you its sorted order. I've added screenshots for your reference.

Thank you for the suggestion.  Again, I have not been clear in my desire.  I know how to change the up/down sort order.  What I am asking is for QBO to recognize that the sort order should be .1, .2., .3, .15, not .1, .15, .2, .3.  Seems that QBO cannot make that distinction.

If you want accounts to display in a 1, 2, 3, 4, etc. type sorting when using your sort options, you'll need to begin each account's number with an appropriate whole number for how you want them ordered.
 

For example, if you want a checking account to display as number 1 when sorted by account number, you'll have to make its account number 1. This will assure that they sort in the proper order you're looking for.


 

In the event you have a series of numbers/characters (example: 8205.) displayed before the number you want it to sort by, it's going to be reading those numbers/characters that come before the number you'd prefer it to sort by.
 

I can certainly understand how an ability to sort accounts by the fifth digit in their account numbers could be useful and have submitted a suggestion about it as of today.
 

You can also submit your own feature requests while signed in.
 

Here's how:

 

  1. Use the Gear () icon, then go to Feedback.
  2. Enter your suggestion(s) in the Have feedback? window.
  3. If necessary, attach a file with your Camera () icon.
  4. Select Next.
