Buy now & saveWe have a user who needs to combine reports from a number of company files on a semi regular basis, and complains of the amount of time it takes to log into each company file after beginning the combination process and are looking for a way to skip the password prompt on the company files. Understanding that this potentially has serious security implications, does anyone have a way to do this? We have turned on the setting to only ask for the password for the individual company files every 90 days and have confirmed it is working for normal login, but this has no impact on the combined reports feature.
Hello, Communicore! Combining reports from multiple company files in QuickBooks Desktop often requires logging into each company file, which can be time-consuming and a little hassle, especially if done regularly. However, the option to bypass password prompts isn't directly supported in QuickBooks Desktop for security reasons. Let me explain further.
The need to manually enter passwords when you're combining reports is mainly for keeping things secure and protecting your company's information. Every time you open a different company file to put reports together, the system asks for a password. This makes sure that only people who are allowed to see the information can access it. It's an important step to help keep your business data safe, especially when you are working with information from more than one company file.
Although we can't remove the password prompt completely, you might find it easier to set up a simpler yet secure password. This could make entering passwords quicker. You can check this article for guidelines on setting up a secure password for QuickBooks Desktop: Password security for QuickBooks Desktop.
Additionally, you can check out this article for guidance when combining reports from multiple company files: Combine reports from multiple company files.
Moreover, you'll want to customize your report to fit your specific needs and then save it as a memorized report. This way, you won't have to repeat the customization process each time you need to access similar data.

@KiazzymaeC Requiring people to enter passwords each time they combine reports from multiple company files, while still allowing them to only enter a password every 90 days, is like barricading the front door while leaving a window open right next to it.
