Allow me to provide information on how to create a purchase order in QuickBooks Online (QBO).
Before anything else, please note that purchase orders are only available in the QuickBooks Online Plus and QuickBooks Online Advanced plans. If you are using a different plan, you can upgrade your plan to access this feature.
To activate the purchase order feature, follow these steps:
- Sign in to your QBO account.
- Click on the Gear icon and select Account and settings.
- Choose the Expenses tab.
- In the Purchase Orders section, click the pencil icon to enable the "Use purchase orders" option.
- Optionally, you can enable Custom fields and set a Default message for vendors.
- Click Save and then Done.
Once the purchase order feature is activated, you can create and send purchase orders directly from QBO. Here's how:
- Click on + New.
Select Purchase Order.
- From the Vendor dropdown, choose the vendor and review the Mailing address.
- If shipping products directly to a customer, select the Ship to dropdown and then Ship via. Ensure the Shipping address is accurate.
- Enter the Purchase Order date.
- Click Settings on the Purchase Order form, then in the Choose what you use panel, follow the link to add your custom fields.
- In the Item details section, input the products you wish to purchase.
Note: You can only add products or services marked as "I purchase this product/service from a vendor." Learn more about editing products and services.
- When finished, select Save and close. If ready to send, choose Save and send dropdown.
