Credit Card Transactions Sorted by Sales Rep Not Exporting to Excel

My company recently added the sales rep column to our credit card transactions, so that we can run budget reports for each employees' credit card transactions. We created a custom report in QuickBooks that shows each credit card transaction a long with the sales rep associated with it. However, whenever I try to export the report to excel the sales rep data disappears in QuickBooks and thus does not show up on excel. When I click the refresh button the sales rep data reappears.

I believe this an error on Quickbooks end. I have already contacted support over the phone and that person's conclusion was that my excel needed to be updated. She had me run the program quick fix and diagnostic tool, which did not fix the issue even after I restarted my computer. My excel version is 2211, which I believe is the latest version. Is someone able to determine the cause of this issue and fix it?

Also yes I know I can run a report for each sales rep, but that takes a lot of time. I want to be able to run one report for all credit card transactions each month and then sort by sales rep.

Credit Card Transactions Sorted by Sales Rep Not Exporting to Excel

Hi there, badger24.

Thank you for visiting the QuickBooks Community. I appreciate you for performing some steps and for contacting our QuickBooks Support to fix the issue. With this, I'll be sharing troubleshooting steps to ensure you can export a specific report in QuickBooks Desktop smoothly and completely.

To start with, I suggest running the Verify and Rebuild Data Utilities to get this sorted out. The Verify Data utility identifies potential data damage issues that might've caused the sales rep data to disappear in QuickBooks, while the Rebuild Data utility repairs damaged data in your company file. Before this, you'll have to secure a backup copy of your company file.

To Verify data:

  1. Go to the File menu.
  2. Scroll down to Utilities.
  3. Select Verify Data.
  4. Click OK.

To Rebuild Data:

  1. Go back to the File menu.
  2. Choose Utilities.
  3. Select Rebuild Data.
  4. Click on OK when you get the message Rebuild has completed.

For further details, you can refer to this article: Verify and Rebuild Data in QuickBooks Desktop.

When you're running the QuickBooks Desktop program, you'll have to make sure that your computer meets the recommended system requirements. This is to have the best experience while using QuickBooks Desktop and avoid any issues when handling your data and other features in the program. You can open this article to see further details: System requirements for QuickBooks Desktop 2023.

However, if the issue persists, I suggest contacting our QuickBooks Support again. They have the tools to pull up your account which is needed in investigating the cause of this unusual behavior like the sales rep data disappearing when exporting a report from QBDT.

Lastly, you may refer to this article to see steps on how you can memorize reports in QuickBooks so the same settings of the customized report are available for future use: Create, access and modify memorized reports.

I got your back if you have any other concerns about exporting reports in QuickBooks. Don't hesitate to leave a reply below, badger24. Have a great day!
