Customized report question

How can a create a customized reports of deposits that EXCLUDES any that have a specific text in the memo.  ie: the memo says "from General"  I do not want to incluse these in the report.

Hi there, @Lisamull,

 

Could you please provide the report name you're looking at? I need this information to give the most accurate resolution to your concern.

 

In the meantime, if you're referring to the Custom Transaction Detail report. You have the option to exclude the Memo column. Follow the steps below:

 

  1. On the report, click the Customize Report button.
  2. From the Columns section in the Display tab, uncheck the Memo field.
  3. Click OK when done.

Customized report question

Thank you. I guess I didn't explain myself very well.  I would like to create a report that shows a summary of all the weekly deposits that I make. However I would like to exclude any deposits that happen to have the words "from Iolta" in the memo field.  I do want all other memos included.   Does that make sense?

Hi Lisamull

 

You can filter the report by entering the specific memo information. I'll show you how.

 

  1. From the Reports menu, choose Custom Reports.
  2. Select Transaction Detail.
  3. In the Modify Report window, set the date.
  4. Go to Filters, type in TransactionType in the search field, then click on the All drop-down arrow and choose Deposit.4.PNG
  5. Then, type in Memo in the search field and enter Deposit under Memo.5.PNG
  6. Click on OK.

You'll be able to modify the Memo filter anytime. Just make sure to enter the specific information.

I have the same question as the previous person  Can I exclude records from my report that have a specific text string in the memo field?  I can see how to include those with certain words, but not how to exclude.

The closest way to exclude those specific records is through Excel. This way, we can do further customization to achieve something more specific. I'll guide you how.

 

  1. Go to the Reports menu and select Reports Center.
  2. Open any report.
  3. Click the Excel drop-down on the toolbar and select Create New Worksheet.

  4. Select Export.

Once done, QuickBooks opens MS Excel. From there, you can edit your data as needed.

Are you trying to search for a transaction using the memo you entered? If yes, QuickBooks Desktop has the Advanced Search feature which allows you to search for that transaction.

 

 Here’s how:

 

  1. Go to the Edit menu.
  2. Choose Find.
  3. Select the Advanced tab.
  4. In the Filter box, pick Memo.
  5. Type in the Memo you've entered.
  6. Click Find

 

You can also filter the transactions to show only the invoices.

Thanks.  No, I'm actually wanting to look for cases where the memo line is empty/blank.  We typically should have something on each memo line and/or internal memo line so my desire is to create a report to catch ONLY instances where a memo might have been missed.  Make sense?

So looking for some type of way to create a report asking "when MEMO line is blank" then return those items in the report.

Your idea about filtering the transactions with empty memo is interesting. However, this is not possible in QuickBooks Desktop. When you pull up the report, the MEMO is one of the default columns.  With that said, you can easily see the transactions with blank memo.

 

Another option that might help you filter the transactions with the empty memo is to export the report to Excel. This option was provided by LieraMarie_A.
