customized reports -copy information into another column

I have sales order information being uploaded by an adaptor into desktop QB. Is it possible to copy some of the information into another field so that I can see it on a customized report.

Thanks for dropping by the Community. If you're looking to Copy and Paste information into another field within your customized report all you have to do is click and highlight what you want to copy and hit Ctrl+Alt+Y and to paste it you hit Ctrl+Alt+V. Note: This feature is only available in QuickBooks 2018 and later.

Hi Nick,

Sorry, I have probably not been clear enough. The adaptor downloads orders into QB . The download includes all of the delivery details (Name, address 1, address 2, address 3, city, state, zip) . I know that because I can see it on the Sales orders. 

However when I run a customized report to extract this information :

  • the name appears in the column 'ship to address 1, 
  • Address 1 on the sales order appears as Ship to address 2
  • City , state and zip all appear in the correct ship to columns.

That leaves address 3 which I know has been downloaded (because I can see it on the sales order in QB).

My question was as it is there in QB can it be copied (copied rather than changed as it still needs to be on the order) to another column in the QB customized report for example 'other 1' or 'other 2'

You can manually copy the sales order information on the field and paste it. This way, the correct details appear in the report. Let me guide you through the steps so you can get started on how to edit the transaction.

 

  1. Go to Customers at the top menu bar, then Customer Center.
  2. Single-click the customer whom the sales order is for.
  3. Double-click to open the sales order from the Transactions tab.
  4. From the Main menu, click the Mark as Open icon. This will re-open the closed SO.
  5. Then copy and paste the correct information on the transaction.

Hi MaryAnn_E,

Thank you for your response. Unfortunately I download up to 100 orders each day into QB and it would be very time consuming to copy and paste them all individually. Is there a way of putting the shipping address 3 into another column that can be picked up as part of the customized report?

As mentioned by my colleague, you’ll have to manually copy the address and paste each one. This is because the third address doesn’t automatically flow into the report. I still suggest you follow the steps shared by @MaryAnn_E.

Hi Rasa-LilaM,

Can I try a different tac.

When I use customized report the 'Memo' column is a copy of the 'Item Description'

Clearly this is being copied from the details on the sales order. Can the 'Memo' column be changed so that it copies the shipping address 3 into that column instead..

Hello there, Martinh.

 

Yes, you're right that using the customized report will automatically copy the information from the Item Description into the Memo column. 

 

The details generate on the Memo column when we're running a list of transaction report as you did. If you run a report that's showing items in the transactions, it displays the description. That's why the Memo column cannot be automatically copied from another field.

 

As my colleagues suggested above, we can manually do it by transferring the address three into the Item Description within the sales order. Open the sales order and copy the address three. Then, paste it in the Description column and save it.  It'll then show in the Memo column on the report.
