Deposits Received Report by Vendor

I need to run a report to see how much a specific vendor paid us over a set timeframe, but the payments are tied to different clients. For example, if Vendor 1 paid us a total of $X over 10 payments last year, with each payment associated with a different client, how can I pull a report that shows all of those payments by vendor?


Additionally, when I try to search for deposits through the transaction search, I can't find them under the vendor name. The transaction search only shows the deposits if I use the client name, not the vendor. Is there a way to search for these deposits by vendor?

 

Before the transaction and reporting page update last year, I was able to do both of these without any issues. However, now it seems like the reporting is only tied to the client and can't be searched by vendor anymore.

To ensure the customizations made by my colleague above pulls up the needed output, I'd suggest utilizing the Group by field and select Vendor from the Transaction Detail by Account report. This way, the report will show the three associated deposits to a particular Vendor.

 

Let me show you how:

 

  1. Navigate to the Reports section.
  2. Enter Transaction Detail by Account in the search field.
  3. Set the appropriate date range for the report.
  4. Click on Run Report.
  5. Next, click on Customize.
  6. In the Group by dropdown, select Vendor.
  7. Confirm that the Transaction Type box is checked.
  8. Click Run Report again to generate your customized report.

 

If the basic reports do not include the specific data you need, you can build custom reports to access the information that is most important to you.

Deposits Received Report by Vendor

You can run a report to see transactions for a specific vendor over a set timeframe using the Transaction List by Vendor report in QuickBooks Online, @Nolabrewer. Allow me to discuss this further.

 

To begin with, If the deposit is tied to the customer, it will not appear under a vendor transaction. However, if the deposit is accounted for as Accounts Payable (AP) specific to the vendor, it will show as a vendor transaction and can be pulled up using the Transaction List by Vendor report.

 

Also, to assist you better may I know how you entered those client and vendor transactions? I would much appreciate it if you attached a screenshot.

Deposits Received Report by Vendor

The transactions I am looking to report on, or find in a transaction search, are deposits.  Specifically based on the "Received From"  field (aka Vendor).  The issue is if I put anything in the "Client" field for a deposit entry than the "Received From" field is no longer reportable or even searchable on the transaction search page.   

 

Here's an easy example.  Company X owes us money for "Client" Y.  They pay us, we make the deposit entry as the "Received From" is company X and the "Client" is Y.  There is no way in QB to find that company X paid us by using any report, or the transaction search based on company X (aka Received From).  The only way you would know who paid us for "Client" Y is to do a report, or search, based off of client Y.  But what happens if you want to know how many payments company X has ever made to your company, or how much during a certain timeframe company X has paid you?  

 

The report you mentioned does not include the information I am looking for.  That's the problem, because it clearly should include it.  The Transaction Detail by Account report should also work for this, when filtered by a specific vendor that was used in the deposit "Received From" field, but again it does not.  QB acts as if the deposit entry "Received From" field does not exist if a "Client" is entered in.

We can run the Transaction Detail by Account report to display payments Company X has made to your company or the total amount they paid during a specific timeframe. Let me share the specifics below.

 

The Transaction Detail by Account report is only available for QuickBooks Online Essentials, Plus, and Advanced versions. If you're using the Simple Start version, consider upgrading your subscription.

 

However, if you're subscribed to one of these plans, let's tailor the report to get the data you need. I'll show you how.

 

  1. Go to the Reports menu on the left panel and search for Transaction Detail by Account.
  2. Select Switch to Classic View (optional) or continue with the Modern View, then click the Customize button.
  3. Set the Report Period.
  4. Go to the Rows/Columns section to choose Account under the Group by.
  5. On the Select and reorder columns section, tick the Date, Transaction Type, Customer, and Vendor checkboxes. You can organize them by dragging the specific columns.
  6. Scroll down to the Filter option and select Deposit as the Transaction type, Y as Customer, and X as Vendor.
  7. Click Run Report.

Deposits Received Report by Vendor

Thank you for your response.  Unfortunately, I do not think you fully understand the issue.  In your example, remove the Client/Customer Y from the report filter and the report will no longer show the deposits from vendor X.  In other words, I want to be able to search/run a report for these deposits just based on the Vendor (aka "Received From" in the deposit entry).  

 

Here's another example to help illustrate the issue.  If Vendor X made 3 payments to us over the year (so deposited on different dates; separate deposit entries for each deposit).  The first deposit is tagged to Client/Customer A, the second deposit tagged to Client/Customer B and the 3rd deposit tagged to Client/Customer C.

 

I want to be able to do a transaction search by vendor X that shows me all 3 of those deposits.  Currently, if I do a transaction search by the vendor none of those deposits will show up.  Additionally, if I do a transaction detail by vendor report (not including the client because the point is I want to be able to run a report by the vendor) than it's the same issue, none of those deposits will show up in the report.
