Excel export - can I shorten company name in filename

Hello,

When I download to xls, my long company name appears at the beginning of the filename.   Is there a way to alternatively have a shorter or abbreviated company name appear in the filename?

thanks

Excel export - can I shorten company name in filename

Yes, there is indeed a solution for shortening the company name that appears on your downloaded file, Chipster. I’d be more than happy to guide you through the entire process to ensure that the adjustments are made effectively and accurately.

When you export a report from QuickBooks Online (QBO) to Excel, the file is saved with your company name by default. However, you have the option to shorten this.

First, ensure the new label is descriptive enough to identify the contents easily, free of special characters that may not be supported, and retains the .xlsx file extension for Excel.

If you're using Windows, here is how you can rename the file:

  1. Locate the downloaded file.

  2. Right-click on it and select Rename.

  3. Type the new name and press Enter.

On Mac, please refer to the steps below:

  1. Find and force-click the file's name.
  2. Enter a new name.
  3. Press Return or Enter.

However, if you meant to shorten the company name so that a shorter one is displayed every time you pull up reports, you'll need to change your business name from the Accounts and Settings section.

By following the instructions provided above, you should be able to successfully modify the business name on your file according to your preference. Each step is designed to guide you clearly and thoroughly, ensuring that you achieve the desired outcome with confidence. Should you have further questions or require additional assistance related to running or customizing reports in QBO, please do not hesitate to reach out. Simply tap the reply button. I'll be ready to give prompt assistance.

Excel export - can I shorten company name in filename

Hi Camelle,

thanks for the quick reply.   Sorry I wasn't clearer.    I don't want to have to rename the xls file every time.   I export a lot of reports to Excel.  Instead, I'd like it so that when the AR Aging report, for example, is exported, I get output with filename "J&J Co - AR Aging.xls" instead of "Johnson and Johnson Corporation - AR Aging.xls".    Is there a setting or some other way to add a shortened company name from which the report can pull?

thanks

Yes, there is a particular setting available for you to add the shortened company name, Chipster. I'd be delighted to assist you in navigating the steps to update this information.

The name listed in the report header and at the start of the file name comes from the information provided in the Company name section. To have J&J Co appear in the file name, let's update the company name.

Here's how:

  1. In your company navigate to the Gear icon in the upper right and choose Account and settings under Your Company.
  2. Go to the Company menu on the left panel and click Pencil icon to view more details
  3. In the Company name section, enter the desired company you'd like to appear at the beginning of the filename.
  4. Click Save and Done.

For deeper insights into the process and guidance on updating your business details, feel free to visit this link: Change your business name, contact info, or EIN in QuickBooks Online.

After making the necessary changes, export the AR Aging report again. There, you'll see J&J Co at the beginning of the file name.

Additionally, I've included an article that provides all the essential details for downloading your data: Export reports, lists, and other data from QuickBooks Online.

If you wish to keep the current customization settings for your reports and tailor the layout, feel free to open each link for detailed instructions:

Excel export - can I shorten company name in filename

@Chipster61  What they're trying to say, without saying it, is that no, you can't have it automatically shorten your company name for the sole purpose of Excel sheets.
