Help with invoicing and projecting income

I run an architectural design company and use QB Online.  I charge my clients by the square foot.  I invoice them 4 times during the project.  50% to begin.  20% based on one stage of completion.  20% based on another stage of completion.  And 10% when the project is done.  The footage of the house constantly changes and so can the dates that the last three invoices will be due.  Is it possible (without much work) to have a way of updating the amount of the invoices by updating the square footage of the home (and subsequently the total job cost) and updating all of the due dates of the invoices.  That way I can run a report and know how much income I should expect every month?

Thanks in advance.

Thanks for reaching out to us, WRDINC. I'll share some insights about how the project feature works in QuickBooks Online (QBO).

I recognize the convenience of automatically updating the invoice amounts by square footage together with the total job cost and their corresponding due dates. However, these options are currently unavailable within the QBO program. You'll have to manually update each invoice with the correct details of your project to view the correct data in your reports.

Rest assured our product development team is working diligently to enhance QuickBooks to meet our users' needs. For the time being, I recommend sending your feedback to them. This allows them to review your suggestion and possibly implement it in future updates.

Here's how:

  1. Go to the Gear icon at the top.
  2. Select Feedback.
  3. Enter your comments or product suggestions.
  4. Then select Next to submit feedback.

In the meantime, I suggest utilizing a third-party app that allows you to manage your projects easily and is less time-consuming. Simply hover over to the Apps menu inside your QBO account and look for an app.

After setting up your projects, you can track income, expenses, timesheets, and labor costs. You can check out this article to learn more about this option: Track hourly labor costs and profitability by project in QuickBooks Online.

Thank you for your reply.  Do you happen to know of any apps that are available and can do what I am asking?

Help with invoicing and projecting income

Hello, @WRDINC.

Let me provide you with some methods to discover the available apps that allow you to manage your projects easily.

As of the moment, we're unable to recommend a 3rd party app to use. However, There's a feature in QuickBooks that allows you to search for an app that meets your needs. Here's how:

  1. From the left menu, click Apps.
  2. Select the Find Apps tab.
  3. Enter a brief description of the feature in the Search for an App box.
  4. If there's a list of selections, choose the app you want to integrate, then click Get the app now to connect.

I'll include this article that allows businesses to tailor the information presented to their specific needs, ensuring that the data is relevant and actionable: Customize reports in QuickBooks Online.

If you have further questions about the apps, you are looking for, you can comment below, and we'll respond to you as soon as possible.
