Hi, How can I issue an invoice for partial quntity? Thanks, Keren

Hello, Keren. I'll guide you on how to issue an invoice in partial quantity when using QuickBooks Online (QBO).

It's possible to issue an invoice in partial quantity from an estimate using the Progress Invoicing feature in QBO. Before doing so, let's go to your Account and settings and turn on the feature. Here's how:

  1. From the Gear icon, select Account and settings.
  2. Select the Sales tab from the menu.
  3. In the Progress Invoicing section, click the pencil icon.
  4. Turn on the switch beside Create multiple partial invoices from a single estimate.
  5. Choose Update in the Update your invoice template? window.
  6. Click Save, then Done.

To continue, let's go to your Estimate and create a partial quantity. Please know that the option to choose number of items to convert into invoices is currently unavailable. You'll need to manually calculate the percentage of items to be converted. Here's how:

  1. From your Estimate, click the Review and send drop-down.
  2. Choose Convert to invoice.
  3. In the How much do you want to invoice? window, select Manual entry for each line.
  4. Create invoice.
  5. In your invoice, enter the amount due and the quantity you want to partially invoice. For example: There are seven quantities of items and each costs  $50. If you wish to invoice four quantities of items partially, you'll need to enter $200 for the amount due and enter four in the Quantity field.

Hi, How can I issue an invoice for partial quntity? Thanks, Keren

In your example above, instead Of entering $200 how do I enter the quantity and allow it to figure out the dollars. If the customer orders 40 and I only shipped 23.5 and they cost $800 each, can I just enter 23.5, or do I have to do the math?  Can the system do the math for me?

Hi, How can I issue an invoice for partial quntity? Thanks, Keren

In QuickBooks Online, we need to manually calculate the 58.75 percent to 23.5 to determine the cost for the units shipped, Greenlandj44.

Currently, there is no option to simply enter the quantity if you want to partially invoice 23.5 pieces out of 40. Your option is to do the math, because we can only enter the equivalent amount ($) or percentage (%) of the partial. Having said that, 23.5 pcs of 40 at $800 each is 58.75% or $18,800. This is what you'll enter in the Due field, as shown in the screenshot below
