How can a user (QBO Advanced), that is set to only create or view invoice, see the history of invoices for a specific client on the client profile?

In regular QBO, when you pull up the client file you can see the invoice and payment history.  I am not seeing this feature in QBO Advanced.  Is this something that can be changed in the system so that users don't have to always go to "invoices" to search there?  It is much easier to see on the client file.

Thank you.  Here is the view of the client account if a user has full admin access:

This is the image for a user that has invoice creation and view access only:

None of the client activity can be found in the client file.

I hope this helps explain what I am hoping to see differently.

I appreciate your reply and adding additional information to help me get on the same page, tmelvin-geminiam.

I'll outline a couple of handy details to clear things up about the user's access.

In QuickBooks Advanced versions, user roles are customizable permissions that an admin can give their users. The user may have been given limited access to only create and view invoices but is unable to view those payment histories.

To learn more about the different options for user roles and access permissions, here's an article you can review: User roles and access rights in QuickBooks Online

For managing users in QBO, I've added this helpful resource to give you more insights: Add and manage users in QuickBooks Online

Loop me in if you have other concerns about managing users and access in QBO. I'd be glad to assist you. Take care.

Currently, they are unable to see the invoice history as well.  The payment history isn't necessarily needed, but it would be nice to have the invoice history there.  I have been working through the user settings and have watched every video on this.

Thank you for your time.

Thanks for coming back and adding a screenshot, @tmelvin-geminiam.

The access a user can do in a specific areas in QuickBooks depends on their role that was set up.

For now, these are the Sales access you can assign to your users in QuickBooks Online (QBO) Advanced subscription.

For user with location restrictions:

  • This user is limited to the Sales role only.
  • This user can’t receive payments and create weekly timesheets.
  • This user can’t import a CSV file.

For user without location restrictions:

All sales transactions and customers
If this user is also responsible for receiving customer payments, we suggest giving them permission to record bank deposits too.

This user can:

  • Enter estimates, invoices, sales receipts, credit memos, and refunds
  • Enter charges and credits
  • Create and delete statements
  • Receive payments from customers
  • Fill out timesheets for anyone
  • Add, edit, and delete customers, products and services
  • View tax rates and agency settings
  • Use and adjust tax in sales transactions and general journal entries, including manually overriding calculated tax amounts
  • Add, edit, and delete currencies
  • Edit exchange rates

This user can't:

  • Print checks (including refunds)
  • Make bills and purchases billable to customers
  • Add, edit, and delete accounts and quantity on hand
  • View bank registers
  • See total income and expense amounts on Home, Vendor, and Customer pages
  • Run tax reports or view tax history
  • Prepare or file a sales tax return or record sales payments
  • Set up new or change existing tax agencies or settings
  • Set up multicurrency
  • Perform home currency adjustments
  • View all reports

Invoices

  • This user can only create, edit, and send invoices.
  • This user has access to all products and services and customers.
  • This user can’t apply billable time, expenses, or delayed credits and charges with invoice-only access.

For now, the option to set specific access such as creating, viewing and seeing the invoice history invoice is unavailable in the program. Though you can send these suggestions to our developers. That way, they can review your request to help improve your experience in QuickBooks. Here's how:

  1. Select the Gear icon at the top, then Feedback.
  2. Enter your comments or product suggestions.
  3. Click Next to submit feedback.

Moreover, you can track feature requests through the QuickBooks Online Feature Requests website.
