How can I add a deposit to my invoice

Thanks for choosing QuickBooks Online for tracking your sales transactions, @ctrenovations717. I know how important it is to add a deposit to your invoice. I'm here to help you with that.

 

Before we link the deposit to an invoice, please take note of the following:

 

  • There's an invoice for the customer.
  • Payment hasn't been entered and linked to the invoice.
  • The payment was entered through Bank Deposit instead of Receive Payment.

 

To proceed, let's locate and edit the deposit. Here's how:

 

  1. Go to the Accounting menu, then select the Chart of accounts tab.
  2. Find the account you deposited the payment to and select View register.

  3. Find and select the correct deposit, then click Edit.
  4. In the Add funds to this deposit section, find the deposit.
  5. Select the customer the deposit was from in the Received From section.
  6. Choose Accounts Receivable the Account section.
  7. Select Save and Close.

After the deposit entry is updated, we can now apply it as a credit to the invoice. Here's how:

 

  1. Click the +New button, then choose Receive payment.
  2. Select the customer from the Customer dropdown. This displays all open invoices and outstanding credits for your customer.
  3. Enter the date you received the payment in the Payment date field.
  4. In the Outstanding Transactions section, select the invoice you need to mark as paid.
  5. Under the Credits section, select the deposit.
  6. Tap on Save and Close.
