How can I set up an email alert when a client exceed its credit limit?

If you run a retail/wholesale business, consider having a 3rd party inventory management app with the Credit Limit feature to integrate with QBO. You can choose what you want to do when the outstanding receivables exceed the credit limit. i.e Restrict creating or updating invoices OR Show a warning and allow users to proceed. If you want to consider sales order amount in a customers credit limit, you can select the "Include sales orders" amount in limiting the credit given to customers option.

Currently, the ability to add email alerts when your client exceeds their credit limit isn't available in QuickBooks Online (QBO), Cristina.

As a workaround, you can consider manually entering their credit limit in the Notes field. I'll gladly walk you through how.

  1. Go to Sales and select Customers.
  2. Locate and choose a customer from your list.
  3. Click Edit.
  4. Under the Notes and attachments, enter their credit limit.
  5. Click Save.

Additionally, you can follow 4Gal's suggestion about using and downloading third-party applications to help simplify your workflow. To download one, here are the steps you can follow.

  1. Go to Apps.
  2. Click Find apps.
  3. On the search field provided, you can type and browse apps.

If you want to learn how to record payments into your credit card in QBO, you can refer to this article for more information: Record your payments to credit cards in QuickBooks Online.

How can I set up an email alert when a client exceed its credit limit?

Hey there! We ran into the same issue with customers going over their credit limits, so I built a tool to solve it — it’s called Blume (useblume.com).

Blume connects to QuickBooks Online in minutes, pulls all your customer balances, compares them to their credit limits, and sends automatic email alerts when they’re over. It also tracks overdue balances and sends smart reminders (since QBO’s default reminders are often ignored). Plus, it shows each customer’s average days to pay, helping you stay ahead of cash flow issues.

Feel free to check it out — I’m happy to give you 2 free months if you’d like to try it out!

Here's a video too! (https://youtu.be/sfpGf1FIGWg?si=Xlfx-09R1ISrDUY1)

Blume is an AR automation software for businesses using QuickBooks Online. Track customer credit limits, automate reminders, and reduce overdue balances - all in one simple dashboard. Key Benefits: Improve cash flow up to 25%, Reduce average days to pay, Automate customer outreach, Save 6+ hours a
