How do I change account numbers in the chart of accounts?

Let me guide you on how you can change the account numbers in your Chart of Accounts, darrell6.

The account numbers are assigned in ranges based on the generally accepted accounting principles (GAAP) and account type. To change the account number, we can go to the Account page to enter the new one in the Account No. field.

For the steps and details, you can follow the instructions below:

  1. Go to the Lists on the menu.
  2. Choose Chart of Accounts.
  3. Select the account that you'll want to change the account number of.
  4. Tick the Account drop-down at the bottom of the list.
  5. Select Edit Account.
  6. Change the number in the Account No. field.
  7. Hit Save & Close.

Thanks for joining in on the thread, Jonathan Cheng.

Based on the screenshot you've attached, it seems that you haven't enabled the Account number. Here's how to enable the account number feature:

  1. Click Edit at the top menu and select Preferences.
  2. In the Preferences window, select the Accounting menu.
  3. Select the Company Preferences tab and go to the ACCOUNTS section.
  4. Mark the Use account numbers and click OK.

After that, we can go back in editing the account. The Number field will now appear which you can already change or update.

Keep us posted if you have additional questions in editing the account. Have a great day!

How do I change account numbers in the chart of accounts?

I'm in the edit window for a fixed asset account and it doesn't show the account number but I enabled account numbers to be shown.

Thanks for joining the thread, @FelicityAlexis. I'll help you proceed to set your QuickBooks Desktop application to show the account numbers for your fixed asset account.

Since you've already enabled the use account numbers setting in QBDT, you can consider creating a dummy account to see if the account numbers will show in that particular account. If the issue persists, we'll proceed to perform troubleshooting. This way, we'll be able to isolate this issue by performing a Rebuild data herein QuickBooks Desktop. To begin, these are the steps:

  1. Go to the File menu, then hover over Utilities and select Rebuild Data.
  2. On the QuickBooks Information window, select OK. Follow the onscreen steps to save a backup.
  3. Let the tool repair your file. It may take some time. QuickBooks may seem stuck, but as long as you can move your mouse, the tool is working.|
  4. When the tool finishes, select OK.
  5. Go to the File menu. Then hover over Utilities and select Verify Data.
  6. Let the tool check your file for data issues.

If QuickBooks doesn't find any problems, select OK. You can keep using your company file. You don't have any data damage, If QuickBooks Finds an issue with your company file, select Rebuild Now.

If you're still having data issues after rebuilding your company file, you can consider doing the troubleshooting again. If the first rebuild took 2 hours, I recommend contacting our QuickBooks Desktop support team. This way, a representative can check and investigate to determine the root cause of your issue. They'll then provide you with the best possible way to fix your problem and let you proceed to use the account numbers feature here in QuickBooks Desktop.
