How do I change an overdue invoice to paid without it creating a deposit in my bank register?

I've come with a solution that can help mark your overdue invoices as paid without creating a deposit in your bank register.

 

You can record a receive payment to the overdue invoice and make sure you select the Undeposited Funds in the Deposit to drop-down. This way, you can mark the invoice as paid and won't create a deposit directly to your bank. To do so, please follow the steps below:

 

  1. Sign in to your QuickBooks Online (QBO) account.
  2. Click the + New button, then select Receive payment.
  3. Select the customer and choose the Undeposited Funds from the Deposit to drop-down.
  4. Choose the invoice you want to mark as paid.
  5. Click Save and close.

Once your customers were able to pay their invoices, you can now deposit the payment into your bank account.

I'll help you fix the issue with the missing Undeposited Funds account when receiving payments. 

 

Your Undeposited Funds account may have been marked as inactive. Let's check if that's the case. 

 

Here's how :

  1. Go to the Accounting tab and select Chart of Accounts.
  2. Click the Gear icon on the right corner and check the Include inactive box.
  3. Locate the Undeposited Funds account on the Detail Type column. If it's included in the inactive account, click the Make active option on the Action column.
  4. Once done, there's no need to create a new Undeposited Funds account.
  5. If the Undeposited Funds is still missing from the options, create a new one.

Here's how to create a new account:

  1. Go to the Accounting tab and select Chart of Accounts.
  2. Click the New tab.
  3. Choose the Other Current Assents as the Account Type.
  4. From the Detail Type drop-down, choose the Undeposited Funds.
  5. Fill in the other details needed, then Save and Close.
