How do I change Income accounts for various types of audits my company has performed? IE instead of appearing on P&L as 'Audit Serv' I want them to appear as 'Misc NRCS'.

How do I change Income accounts for various types of audits my company has performed? IE instead of appearing on P&L as 'Audit Serv' I want them to appear as 'Misc NRCS'.

I can guide you with updating the account name, @jack Thompson

 

You can go to the Chart of Accounts to update the name of this account. 

 

Here's how:

 

  1. Go to Settings () and select Chart of accounts.
  2. Find the income account and click the dropdown arrow under the Action column and click on Edit
  3. Update the Name on the Account window that appears. 
  4. Once done, click on Save and Close. 

 

Refer to this article for more information about managing default and special accounts in your QuickBooks Online chart of accounts. It'll tell you more about accounts that can be edited, but not deactivated or merged.

Allow me to assist you further and help you filter your Profit and Loss report to show the desired information in QuickBooks Online (QBO). 

 

Here's how: 

  1. Go to Reports, and search for Profit and Loss Detail.
  2. Click Customize and locate the Filter dropdown.
  3. Check the Distribution Account box and select Misc. NRCS Audits from the ▼.
  4. Then Save customization.

Sorry - I still don't think I'm explaining correctly.

 

I just need the invoices referencing 'NRCS' to accumulate under the 'Misc. NRCS Audits' Income account in the GL rather than 'Audit Services'. Income account.

Does that make sense?

Invoices must be linked to the income accounts somehow and I just can't find where.

 

I've actually used QB/QBO for years but solely as operating project account setups for overseas project offices. Using it as an actual accounting package is kind of new for me.

I want to make sure you're able to change the income account in QuickBooks Online.

 

The income accounts are affected by your products and/or services being listed as line items on the invoices. There are just a few steps to get it changed to the account you'd like. Here's how:

 

1. Go to Settings ⚙ and select Products and services.
2. Find the item and select Edit.
3. From the Income account▼ dropdown, choose the account you want to use.
Note: Can't see the account? Make sure the account's detail type is Sales of Product Income.
4. Select Save and close.

 

The following article provides additional info about changing the account for a product or service item in QuickBooks Online.

 

That will do it. With this info you'll be able to change your income accounts. Please don't hesitate to reach back out if you have any other questions.

Okay, cool.

 

That all makes sense - I followed this and further read up on this:

 changing the account for a product or service item in QuickBooks Online.

 

Unfortunately, I never saw my way to this step:

"For service and non-inventory items, select the Also update this account in historical transactions checkbox after step. This updates all transactions that use the item."

 

The current P&L looks like it's grouping the way I want but the previous year is still dumping them into 'Audit Services'.

Let me guide you through finding that checkbox step so you can continue achieving your goal.

 

Here's how:

 

  1. Go to Settings ⚙ and select Products and services.
  2. Find the item and select Edit.
  3. From the Income account▼ dropdown, choose the account you want to use.
  4. Tick the Also update this account in historical transactions checkbox.
  5. Select Save and close.

 

If you still can't find the checkbox, we'll need to troubleshoot your browser to ensure it runs properly with QuickBooks Online. Let's start with accessing QuickBooks Online using incognito mode or a private window.

 

Here are the shortcut keys to go private mode in a browser:

 

For Google Chrome / Microsoft Edge / Opera:

  • Windows: Ctrl + Shift + N
  • Mac: Command ⌘ + Shift + N

For Firefox:

  • Windows: Ctrl + Shift + P
