How do I get a list of vendors active this year?

Warm greetings, knapiks. I know how important it is to get the list of active vendors this year.

Please know that there's no direct report that we can run to view list of vendor who are active and inactive this year. As a workaround, you can run the vendor contact list report and exclude the inactive or deleted ones.

Here's how:

  1. Go to Reports, then type in the Vendor Contact List.
  2. Click Customize and press Filter.
  3. In the Deleted dropdown, select Not Deleted
  4. Hit Run report.

Meanwhile if you wish to generate a report that includes all vendor's transactions, here's how:

  1. Go to Reports, then type in the Transaction List by Vendor.
  2. Click Switch to classic view.
  3. Set the Report period to This year.
  4. Hit Run report.

On the other hand, to view and sort the list of active vendors on the expenses page, we can exclude the inactive ones.

Here's how:

  1. Go to Expenses, then select Vendors.
  2. Hover to the Gear icon and untick the Include inactive
  3. Click the Print icon if you wish to have a copy of it.

I've included a screenshot for reference.

Moreover, you have the option to memorize the reports you've customized. This way, you won't have to do the customization process again. To learn more about what you can generate, check out this article: Reports included in your subscription.

You can always reach out by tapping the reply button below. I'd be available to assist if you need further help managing your vendors.

/Thank you for replying.

Unfortunately both ways are giving me all the vendors ever used and not the ones from this year.  There were tons of them when I took over the books and I need a way to just see the ones used in the last year.  To make them inactive is way too time consuming.

I tried this.  Is does not say if it's modern or classic view but I don't have "vendor" under group by.  I have name but then I have no way to colapse the reort so it is not providing me with a list of vendors.  thanks for sharing though.

Hello there, @knapiks.

I'm here to help you run a report that will show active vendors in QuickBooks Online.

Currently, QuickBooks doesn't have a specific report for the active vendors. However, you can run another report as a workaround. Meanwhile, I strongly urge you to share your thoughts with our software engineers. They carefully examine customer feedback, especially when determining how to improve QuickBooks.

Here's how:

  1. Sign-in to your QuickBooks Online account.
  2. Go to the Gear icon and select Feedback.
  3. Type in your suggestion and click Next.

As a workaround, you can run the Transaction List by Vendor report. Then, customize the report to show active vendors this year.

Here's how:

  1. From the left menu, go to Reports.
  2. Enter Transaction List by Vendor in the search box.
  3. From the date range dropdown, choose This year.

The report should now show all vendors with transactions this year.

For future reference, you can read this article about exporting your reports in QuickBooks Online: Export reports, lists, and other data from QuickBooks Online.

Feel free to click the Reply button below if you have questions about running reports in QuickBooks Online. I'm always here to help. Have a great day.

How do I get a list of vendors active this year?

What I want is to know which vendors on my rather large active list are, in fact, no longer active, so I can make them inactive. What I need is a report that shows who has billed us over the last 2 years and who has not, so I can get the "has not" group off the active vendor list.

Thank you.

We can run the Transaction List by Vendors to show all the data you needed, @gapaz2019. Let me help you in customizing this report.

This report provides a detailed overview of all the transactions associated with each vendor over a specific time frame. To view all their entries for the past two years, you'll need to customize its reporting period. To do so, here's how:

  1. Open your QuickBooks Online account.
  2. Go to Reports and use the search box to find the Transaction List by Vendor report.
  3. Once on the report page, head to the Report period dropdown.
  4. Select Custom date.
  5. Add the necessary dated in the From and To fields. This will allow you to view the transactions made for the past two years.

You can also read this article for guidance on memorizing your customized report in QuickBooks: Memorize reports in QuickBooks Online.
