How do I let payroll checks appear in the "Print checks" list?

I ran payroll, and the two payroll checks appear in the check register, but  do not have the "to Print" tag, and they do not appear in the "checks to print" list.

How do I let payroll checks appear in the "Print checks" list?

I’ve got the information you need so you can successfully print your payroll checks in QuickBooks, @octoberfermen.

Payroll checks indeed appear in the check register. If you’re referring to the Print check list under the + New button, printing them on that page isn’t possible. It can only be done in the Paycheck list under your Payroll menu. I’m glad to walk you through the steps:

  1. Go to Payroll, then Employees.
  2. Select the employee's name, then go to the Paycheck list tab.
  3. Select the paycheck you want to print. You can select Filter to change the date range.
  4. In the Action column, click Print.

You can also invite your employee to view and print their pay stubs in QuickBooks Workforce.

If you run into an error while printing paychecks or pay stubs, check out Troubleshoot printing paychecks, pay stubs, and forms to learn more.

I'll be around if you need more help with printing paychecks in QuickBooks. Simply select the Reply button below. I’ll get back to you as soon as I can. Keep safe!

How do I let payroll checks appear in the "Print checks" list?

Thanks.  I knew how to print from the Paycheck List, but was hoping that the paychecks would appear with other checks for batch printing.  Your response was very helpful.  Printing from the Paycheck List is fine.

Thanks for the speedy response, @octoberfermen. I appreciate you for taking the time to share your thoughts about printing payroll checks in QuickBooks Online (QBO).

I can see how the functionality to do batch printing of payroll checks would be beneficial to your business. I also understand that you want to make some changes and improvements to QBO to meet your business needs. However, this option is currently unavailable.

While this feature is unavailable, you can send this request to our Product Development Team to help improve your experience. They can review your suggestions and make some necessary adjustments in the next update. Let me show you how:

  1. Go to the Gear icon.
  2. Select Feedback.
  3. Enter your comments or product suggestions.
  4. Then select Next to submit feedback.

In addition to this, you can also pull up a variety of payroll reports in QuickBooks. This will give you a closer look at your employee's total wages, deductions, and tax information in a certain period. For the complete list of available payroll reports and how to pull them up, kindly refer to this article: Run payroll reports.

Keep me posted if you still have questions or concerns with managing your payroll transactions in QBO. I'll be here to lend a helping hand. Have a great day ahead!

the same thing happened to me today -- I cannot believe this function is not available in the online version. how do they think we are going to pay 70 people before they are set up in direct deposit? Yep, it is called a paper check that needs a number and to be printed.

Allow me to explain the available options for printing multiple paychecks, sazzafraz.

Please know that the paychecks in QuickBooks Online aren't automatically added to the print queue. We need to navigate to the Paycheck List and utilize the Batch Action feature to print them all at once.

Additionally, if you haven't assigned transaction numbers when you processed the payroll, we'll have to add them individually before printing the checks. Here are the steps to follow:

  1. Go to the Payroll menu.
  2. Choose Employees, then click Paycheck list.
  3. Manually enter the check number in the field.
  4. Tick the checkboxes of the paychecks you want to print.
  5. Click the Print button beside Actions.

I understand your preference for having the paychecks automatically displayed on the print queue. This would provide you with the convenience of managing all the associated transactions in a single, consolidated location.

Rest assured that we value your perspective on this matter. To help improve your experience, I recommend submitting feedback by following the steps provided by my colleague, Kevin_C. Your ideas help shape the future enhancements and improvements of our products.
