How do I move time charges to an Invoice?

Hi QB Team,

Well, I’ve made a lot of progress towards creating my first invoice.

At the “all sales” page in QB Essentials, I have created about 55 time charges and 2 invoices.

It looks like QB will scoop up all of the time charges and add them to a new invoice. I assume that it will leave the 2 existing invoices alone?

My concern is that it took a lot of time to do all of that data entry and I don’t want to hit the wrong button and lose everything or have it stored in the wrong place and I can’t reverse it.

  • Is my data backed up?
  • Can I roll it back to a previous state?
  • Can I add my time charges one-by-one to an existing invoice so that I can see what is happening step-by-step?

Thanks,

How do I move time charges to an Invoice?

Thank you for joining the Community, @tclark47988. I'm here to make sure your efforts in managing invoices are secure and straightforward.

QuickBooks Online (QBO) has an automatic feature for creating new invoices from unbilled time charges, which we need to deactivate. Turning off this feature allows you to have control over manually attaching your time charges to existing invoices one by one.

Here’s how to do it:

  1. Click Account and Settings then select Advanced.
  2. Look for Automation and then turn off the Automatically invoice unbilled activity.
  3. Hit Save.

I have attached a screenshot below to help guide you.image.png

After completing the invoice, you can either send it via email or print it.

Moreover, backing up data is a feature exclusively available in QuickBooks Online Advanced.

Thanks for your prompt reply, @tclark47988. I will guide you through the process of adding time charges in QuickBooks Online (QBO) from your All Sales page.

To begin, you need to select each previously created time charge individually from the Sales transactions. Follow these steps:

  1. In the left panel, select Sales.
  2. On the All sales page, choose the Invoice and click Edit

  3. On the page, go to Manage.
  4. Click the Suggestions dropdown, then open the Suggested transactions.
  5. Choose the Billable time you'll have to include the invoice, then select Add.
  6. Once done, hit Save and close.

After completing these steps, all the time charges you added will be included in your invoice.

Additionally, you can visit this helpful article and learn how to personalize and add specifics to your sales forms: Customize invoices, estimates, and sales receipts in QuickBooks Online

I'd be delighted to answer if you require any questions about managing your sales forms. Have a good one.

How do I move time charges to an Invoice?

Hi QB Team,

I'm getting closer,

I'm at the "suggested transactions" panel on my invoice.

But I can only see the first 2 time charges out of the 55 or so I want to choose from.  There is no scroll bar.

How can I view all of my time charges? Not just the first two?

Thanks,

tclark47988
