How do you list a member (customer) where the couple use different last names?

we are a non profit religious organization and I have to enter a couple that use different last names and can't get reports to display their name appropriately.

How do you list a member (customer) where the couple use different last names?

I'm glad to provide insights on how you can enter a member or a customer who is a couple with different last names in QuickBooks Online (QBO).

 

There are two ways to set up a customer that is a couple, you can enter them separately or create a sub-customer to list both spouses and set up the parent as the family name.

 

If you want to enter them separately, they can maintain separate records for each member, including individual contact information. When it comes to reporting, they can utilize filters or groupings to analyze data for both members together or generate separate reports.

 

Here's how:

 

  1. Go to Sales, then Customers.
  2. Click New Customer.
  3. Enter your customer’s info.
  4. Then, select Save.

 

However, if you want them to be directly connected and have a breakdown of activity in the reports, you can enter them as sub-customers. To do this, refer to the steps below:

 

  1. Go to Sales, then Customers.
  2. Click New Customer.
  3. Enter your their info.
  4. Tick the checkbox for Is sub-customer.
  5. In the Parent drop-down, find the parent customer or member, then select the Bill with parent or Bill this customer.
  6. Then, hit Save.

 

Moreover, in getting a report for your members, you may have an option to customize the report with the Customer's full name depending on the report.

We currently use First Name: Tom & Jane; Last Name: Jones & Smith. We change the Display Name: Jones, Tom & Smith Jane and change the Check Name: Tom Jones & Jane Smith. This works except for the Bill To which prints as Tom & Jane Jones & Smith.

In QuickBooks Online (QBO), when you print an invoice, the system automatically recognizes the first and last names. However, you can manually change the name to your preferred display name under the Bill to box. This allows you to customize the display of recipient names on your printed invoices according to your preferences.
