Hello,
I am trying to add the PO numbers to our inventory QuickReport and see no way to do this. I tried to customize the report and pick all the options that are there but nothing will give me the PO number only the bill number (invoice number). How can this be done?
Hi there, @CourtneyF1.
Let me share why P.O. numbers are not showing when running an Inventory quick report using QuickBooks Desktop (QBDT).
Kindly note that the reason of P.O. numbers not showing on the Inventory quick report in QBDT is because it's a non-posting transaction. If you require a report that displays your P.O. transactions, you can generate a Transaction Detailed report. Here's how:
Additionally, you can refer to this article to learn how to receive inventory with or without a bill using QBDT after recording a purchase order: Receive inventory.
I'm still all ears if you need further assistance with managing your purchase orders and reports in QBDT. Just add your reply below, and I'll get back to you.
Thank you for your help but when I picked P.O. Number I do not see them added to the report. It does not add it to the filtering, it acts like it needs something filled out in the P.O. Number field in order to add it to the report.
Thank you for your reply. When I tried this nothing gets added to the filter when clicking P.O. number. It acts like it needs something in that field box in order to have this added to the report.
Thanks for getting back to the thread and following the suggestions, @CourtneyF1.
After checking, I can confirm that purchase order (P.O.) transactions won't appear in the Transaction Detailed report because they are non-posting transactions. This means they won't show up even if you filter the report by P.O. number.
However, upon checking with Inventory QuickReport, I found out that items with Inventory Part and Inventory Assembly types will show purchase order transactions together with their transaction numbers. If you run QuickReports for other item types, they won't show these data in the report.
As a workaround, you can run two separate reports—the Inventory Item QuickReport and the Vendor QuickReport—and then export them to Excel to combine their data.
Here's how to run an Item QuickReport:
For the Vendor QuickReport, follow these steps:
To export your data, click the Excel icon in both reports and select Create New Worksheet. Then, choose Create a comma-separated values (.csv) file and click Export.
Additionally, understanding report sources and targets is crucial when filtering reports. For more information, check this reference: Understand reports in QBDT.
