Buy nowI am a new user to Quickbooks and have only been using QB's Online since January. My company has at least 2800 different categories and sub categories on our chart of accounts that we do not need. I have been given permission to go through and update it with what we do not need any longer but when I try to go and make them inactive, sometimes I get a pop up saying "This account cannot be deleted because it is used by a product or service. How do I get around this to make it inactive? Also we have categories for example: Office Employment Cost and then underneath that we have about 7 sub categories. We no longer need all 7 of those sub categories and are looking condense it from 7 to just 1 sub category called Benefits. Any help would be greatly appreciated.

Thank you for writing here.
If you have categorized any transaction to a Chart of accounts, and you have products/services listed under that chart of accounts.
Remove/inactive that Product or service first. Then remove the balances from that chart of accounts.

As mentioned by @SME Bookkeeper, to avoid the error message you're getting in deleting or inactivating a category in the Chart of accounts, you need to remove or inactivate the Product/service linked to it. Then remove the balances. Once done, you can now make the category inactive.
