How to Keep Invoice Rows in Same Order When in Print or Preview Mode - QB Online

I am trying to keep my line items within an invoice in a certain order, but when I go to print said invoice, they have all moved to different places. Is there a way to ensure that my Time, Expenses, and Charges do not move when I go to print and deliver to the customer. For example: my Overhead and Profit is classified as "Charges," while my labor items are classified as "Billable Time." I like to have Overhead and Profit at the end because it is a summation of all the other items with a percentage markup. Therefore, I click the drag option on the left to bring the Overhead and Profit to the bottom, but when I go to print it appears at the top. What is my best course of action to solve this? I understand the importance of keeping the invoice rows in the same order, rdgcc. My main goal is to ensure this gets sorted out.

 

To fix this, I recommend logging out and logging back into QuickBooks Online (QBO). Doing so refreshes your account for the updates to take effect. 

 

If this isn't the case, I suggest accessing your account using a private window. This way, we can determine whether this is a browser cache-related issue. The browser utilizes cached data to load web pages quickly. However, excessive cache can lead to problems that impact the appearance and functionality of your account.

 

An incognito mode helps us verify the issue since this doesn't save any files. Here are the keyboard shortcuts: 

 

  • Safari: Command + Shift + N 
  • Google Chrome: CTRL + Shift + N
  • Mozilla Firefox or Microsoft Edge: CTRL + Shift + N

 

If the correct order shows, clear the browser's cache. Doing so deletes all the data from your browser and optimizes its performance. Using other supported browsers also helps us verify if this is a browser-specific issue.

CharleneMaeF, thanks for getting back to me so quickly. Chrome is my default browser, so I tried an incognito tab in Chrome, a regular tab in Edge, and lastly an incognito tab with Edge. None of these changed the outcome of the print. This doesn't seem to be an appearance error/glitch due to browser cache, but rather an issue within QBO that is automatically changing the order of the items. I have tried to find some logic in to why it could be happening, alphabetical sorting, item prioritization, or sequential totaling, but none seem to apply considering it just seems to be thrown in a random order. Are there certain ways that QBO gives weight (priority) to certain services/charges/time/billables that would make them appear differently in an invoice? If I had a better understanding of this, then I am sure I could figure out a solution, but I am currently unable to find anything. Please let me know if there's anything else I could try, because I am starting to lose hope in the "customizability" of QBO considering I cannot even put together a simple invoice.

Agents have specialized tools, such as the ability to share your screen, to take a closer look to determine what's causing the issue when printing your invoices. Here's how to get in touch with the team:

 

1. Click the Help (?) button.
2. Select either tab to get started:
  - Assistant: Get quick, personalized answers. Select a suggested option, or type a question or topic you need help with. If you decide you need further help, you can still Talk to a human.
  - Search: Search the QuickBooks Online knowledge base directly, or select Contact Us and choose a way to connect with us:
    a. Start a chat with a support expert.
    b. Get a callback from the next available expert.
