How to run a report that lists projects and the notes input into them?

Good Afternoon,

 

My boss is looking for a report that will list each project (we organize estimates and invoices into projects) we have in motion and the notes associated with that project. In each project, we add notes whenever an invoice or estimate has changed to keep each other informed of when an estimate should be sent out, when it has been, when we expect to be able to invoice, etc. Example below:

These notes are important for us to gauge where projects are and while I've found a report that would probably work (Customer Contact List) as it allows me to make the "Notes" field a column, it only seems to show companies (customers) and does not show any of our projects.

 

Is there a way to output a report that shows these notes on each project? If not, can someone recommend a workaround that would still work in a similar way?

Thanks for getting back to us. Allow me to address your concern, so let me get this straightened out.

 

Currently, QuickBooks Online doesn't have the feature to add a notes on the project lists. The only option is to follow the workaround provided by my colleague @Anonymous so you can add a Memo/Description for individual transactions. I can see how this feature would be beneficial to your business, I'm also preparing a feedback submission to our Product Development Team right now.

Hello, Roger_MWT.

 

There’s isn’t a direct way of running this type of report in QuickBooks. As a workaround, you can pull up and customize the Transactions List by Customer report then export it to Excel. Here’s how:

  1. Go to Report from the left menu.
  2. Type in Transaction List by Customer in the search field.
  3. Click the Customize tab at the top.
  4. Go to Rows/Columns and remove the checkmark on the columns you don’t want to show.
  5. Go to Filters and checked Customers.
  6. Click the dropdown arrow on the box next to Customer.
  7. Select all the Projects you want to show.
  8. Click Run report.
  9. Click the Export icon between Print and Gear icon.
  10. Select Export to Excel.

You’ll be able to add the notes and other necessary information in Excel.

 

Also, you can share your preferred way of printing this data with our developers through feedback. Just click the Gear icon at the top and select Feedback.

Unfortunately, that report only allows Memo/Description for individual transactions, whereas I need Notes for the entire project. Adding the notes manually will be... very time intensive. Is there another workaround that would provide the actual notes for each project? If not, I will request it as a feature as you've mentioned.
