Hi, bradshawconstruc.

 

If you're trying to track customer's billable expenses, you can pull up Transactions List by Customer report and customize it to show the information you need.

 

Here's how:

 

  1. Click Reports in the left panel and look for Transaction List by Customer report.
  2. Hit Customize at the upper right portion of the report.
  3. Go to the Filter tab and choose a Customer.
  4. Click Run report.
  5. Filter the Dates. You'll see the Billable Expenses for the specific customer.

I am trying to track expenses to a client that are non-billable expenses. It is more for internal tracking thank you.

How to see expenses for a specific customer

Hi there, @hunterk.

 

I'm here to drop some information about tracking expenses by clients in QuickBooks Online.

 

 

You'll need to set up the customer as the vendor to track your customer expenses. You have to set name a different name or add some special characters so you'll identify easily. I'll show you the process:

 

  1. Go to the Expenses menu on the left pane. 
  2. Select Vendor
  3. Click the New Vendor drop-down. 
  4. Enter the client's name. If you set up the client's original name, you can now set up her nickname or add special character to her last name as a Vendor.
  5. Enter all the necessary info. 
  6. Click OK

 

A clearing account can help you properly record your money and trade transactions. This will transfer money from one customer or vendor to another. You can also create a debit note for the amount of her invoice.

 

 

To create a clearing account:

 

  1. Go to the Gear icon at the top.
  2. Select Chart of Accounts.
  3. Click the Accounts drop-down, then choose New.
  4. Mark the Bank radio button in the Add New Account window. 
  5. Click Continue
  6. Type in the appropriate account name in the Account Name field. For example, clearing, barter, or wash accounts.
  7. Fill in the necessary fields and leave the opening balance box blank.
  8. Click Save & Close.

I recommend consulting your accountant to determine which account to use for debits and credits. This is to verify that your books and transactions are track in the program.

Go to  Report Center

Pull up report "Income by Customer Summary"

When the report comes up it will list each customer with each job underneath.

If you double click on the total beside each job it will pull up a report listing the expenses.

As a side note if there are any expenses attached to the customer only (not a job under the customer but just the customer) it will show it in the list as "customer - other"

Im happy i found this but it does not show the vendor. How do i do a client transaction list with the vendor as well.  thank you.

Hi, the reports mentioned here don't seem to give me the information I need.  We have clients who prepay for expenses.  In bills we pay we list them as the client so that it gets identified with them.  I am trying to find a report that shows all the expenses in a month that should be used to generate a journal entry report to debit the liability - unbilled account.  Every month I need to debit the unbilled spend account and credit the income account to show we have earned the $$ that we already received.  Thank you!

I'll help you run a report for monthly expenses in QuickBooks Desktop.

 

You can run an Expenses by Vendor Detail report and set the date range to This Month.

 

Here's how:

 

  1. From the top menu, choose Reports.
  2. Hover your mouse to Company & Financial, then choose Expenses by Vendor Detail.
  3. Select This Month from the dropdown under Dates.

 

It should show all the expenses made for this month.

Hi Ethel, 

I appreciate this but I don't need the vendor detail - I need the amounts that were assigned to each client from all the vendor bills in a month.  Is there a report for that?  Or how can I get that list?  Thanks!

Allow me to provide information about the report you need to run in QuickBooks Desktop (QBDT).

 

We aim to maximize your convenience when using QuickBooks Desktop (QBDT) for all your tasks. The report that displays the amounts assigned to each client from all the vendor bills in a month is not currently supported within the program. We recommend submitting a feature request to our software engineers. Please rest assured that our engineers will carefully review the input received and consider including this functionality in future product upgrades. Here's how:

 

  1. Select the Help option, then click the Send Feedback Online option.
  2. Tap Select the Product Suggestion option. A pop-up window appears.
  3. Enter your feedback suggestion.
  4. Hit the Send Feedback button.
