How to see MEMO on a particular report

Hello, I am using QBDT Enterprise 2020.

I do see "MEMO" filed on the bottom left on Estimate/Sales Order/Invoice.

I do write something on that filed. However, if I pull the report from Repot > Sales > Sales by Item Detail,

I do not see the MEMO. I went to "Customize report" on the top left and checked on MEMO under COLUMNS at Display tab. After I did so, Item Description showed up...

Please advise.

Thank you,

How to see MEMO on a particular report

Thanks for sharing detailed information about your concern, @Hiroki. I'm here to share another report that will show the Memo details.

You can pull up the Transaction List by Customer report. This report will also show all the sales transactions that you've created in QuickBooks.

Here's how:

  1. Click Reports at the top menu.
  2. Select Customers & Receivables, and click Transaction List by Customer.
  3. Click the Customize Report button located in the upper left-hand corner.
  4. Click the Display and Filters tab, and select Memo from the Transaction Type drop-down list.
  5. Click OK.
  6. Change the Date and click Refresh.

How to see MEMO on a particular report

Thank you for the reply.

However, Transaction List by Customer report doesn't show the item and item description so our President is not happy.

He wants to see MEMO on Sales by Item Detail. Is there any way that he can see MEMO on THE report? (not other report)

Thank you,

How to see MEMO on a particular report

It's my pleasure to continue to assist you today, Hiroki.

I appreciate the details you added as this will help me better understand your needs.

Moving on to your question, the Memo field is not visible on Sales by Item Detail report. However, I've got an alternative way to achieve your goal.

You can export both reports (Transaction List by Customer and Sales by Item Detail) to Excel. This way you can merge the two reports and pick the information you want to show.

Here's how to export report to Excel:

  1. In QuickBooks, go to the Reports menu and select Reports Center.
  2. Find and open each report mentioned above.
  3. Select the Excel on the toolbar. You can also select Print or Email to save the report as a PDF.
    Save,
  4. To create a new Excel workbook, select Create New Worksheet. If you want to update an existing workbook with the data in the open report, select Update Existing Worksheet. Select Browse and then find the workbook on your computer. Keep in mind, this overwrites the existing workbook.
  5. If you want to format the data a specific way, select Advanced. This is optional.
  6. Select OK. To open the report in Excel, you can also select Export.

How to see MEMO on a particular report

I totally see what Hiroki is referring to.  A simple quick report or transaction list by customer report does not show the memo or description.  It shows the columns but they are blank! Each transaction has a memo.  Why doesn't it show up in the report.

How to see MEMO on a particular report

I see the convenience of including the memo or description inside the Sales by Item Detail report, @JP7771.

As mentioned above, these columns are unavailable in the report by default. You can share this idea with our Product Developers to have this reviewed for future updates. I'll show you how:

  1. Go to the Help icon at the top menu.
  2. Select Send Feedback Online and then click Product Suggestion.
  3. Enter your request, then tap Send Feedback.

You can track your suggestions through this website. You can also visit our blog to keep up with recent events and developments.
