I applied invoice & payments to wrong customer name. Credit card correct but applied to wrong customer. How do I apply the payments to the correct customer?

I have 2 clients with same last name. 1 is former client and 1 is current client. I applied all payments from current client in my CMS to QBO to the former clients name. I need to apply them all to current client name and delete them from former client name. How should I do this?

Hello, info1870.

 

I'd like to lay down some steps and help you apply those invoices and payments to the correct customer. 

 

We'll want to open the incorrectly applied invoice and change the Customer drop-down menu data to the current client. We'll also want to do the same for the payments to close out the transferred invoices. 

 

Here are the complete steps: 

 

  1. Open your former client's profile. 
  2. Open the incorrectly placed invoice. 
  3. On the Customer field, select the current client's name.
  4. Click Save and close, then hit Yes on the prompt.

The invoice will now be under the current client's profile. 

 

As mentioned before, we'll want to do the same for the payments. I should point out that transferring the payment transaction would change the amount to zero. We have two ways to deal with this. 

 

After selecting the current client's profile, change the amount under Amount received. Click Save and close afterwards to complete the transfer process.

Alternatively, we can delete the original payment transaction by clicking on More, then selecting Delete

The last thing we have to do is to link both the invoice and payments. Simply open the Payment transaction, then check the invoice.
