I did a mobile deposit for my company. I then went into QBO to mark the invoices paid. I went to the checking tab in transactions and they are not linking. What do I do?

Typically when I mark and invoiced paid it will automatically match it with the deposit in checking. This time it is not. I have tried to match it manually but that isn't showing it either.

This issue with paid invoices not automatically match with the deposit has something to do with how deposits are being mapped. Let's review the mapping and make sure it goes to the correct account.

 

Here's how:

  1. Go to the Settings icon, then select Account and Settings.
  2. Choose Payments.
  3. In the Chart of Accounts area, select the Pencil icon.
  4. From the Where do you want to record payments? section, choose the correct bank account.
  5. In the "Where do you want to record processing fees?" field, choose the proper expense account for tracking processing fees.
  6. Select Save.
  7. Then, Done.

I think you misunderstood the question. I deposited a check from a customer in our checking account. I then went into QBO to mark the invoice paid. I then went to the transactions tab to the checking account to match the deposit to the invoice that was marked paid. It is not linking those two together. It is just listing it as Deposit Home Banking Mobile. I cannot find a match manually either.

I’m here to help so you’ll be able to link the transactions in QuickBooks, @bonnie-sc-techse.


When you create deposits from your customer, you’ll want to make sure you’ve selected the Accounts Receivable account. This way, you can link the transactions successfully in QuickBooks Online.


You can review and edit the deposit entry in your bank register. Here’s how:

 

  1. Go to the Accounting menu, then select Chart of Accounts.
  2. Find the account you deposited the payment to and click View register.
  3. Locate and select the correct deposit, then press Edit.
  4. In the Add funds to this deposit section, find the deposit and ensure the account selected in the dropdown is Accounts Receivable.
  5. Select Save and close.


Once done, you can now apply the deposit entry as an invoice payment. I’m glad to show you the steps.

 

  1. Select + New button, then choose Receive Payment.
  2. Select the customer from the ▼ dropdown. This displays all open invoices and outstanding credits for your customer.
  3. In the Payment date field, enter the day you received the payment.
  4. In the Outstanding Transactions section, select the invoice you need to mark as paid.
  5. Under Credits, select the deposit.
  6. Press Save and close.


Moreover, you can use this information to reconcile your account in QuickBooks. This confirms that the company’s financial records correspond to the amount that has been spent. And both are balanced at the end of the reporting period.
