I’m delighted to have you here in the Community, Julie. I can share some information on changes to your products and services.

To update the prices of your products and services in QuickBooks Online without affecting past invoices, follow these steps:

  1. Go to the Sales menu and select Products and Services.
  2. Find the product or service you want to edit and click Edit under the Action column.
  3. Update the Sales price/rate to the new desired amount.
  4. Click Save and close.

This change will only apply to new invoices created after the update, leaving past invoices unaffected.

If you mark a product or service as inactive, it will prevent it from being selected in new transactions, but it will not change the price on past invoices. To mark an item as inactive:

  1. Go to Sales > Products and Services.
  2. Find the item you want to mark as inactive and click Make Inactive under the Action column.
  3. Click Save and close.

When updating product and service rates, mark them as inactive in QuickBooks to maintain accurate records of past transactions without affecting historical data. This allows you to streamline invoicing with revised prices for future sales.

The item will no longer appear in your product and service list, but its price will remain on any past invoices. Remember, marking an item as inactive does not update its price; you need to edit the Sales price/rate for future transactions.

Moreover, you'll want to check these articles. These will give you more info on how to manage your products and service items in QuickBooks Online:

Should you need further assistance with products and services, please don’t hesitate to post them. Have a good one!
