I make payments to Non-employee and some are reimbursements for expenses and some are 1099-applicable fees. How do I separate them for reporting?

I make payments to Non-employee and some are reimbursements for expenses and some are 1099-applicable fees. How do I separate them for reporting?

To separate the payments made to non-employee , reimbursements for expenses and 1099-applicable fees, you'll want to categorize them to coordinate with the boxes on the form. Take note, for the reimbursements for expenses, choose the account for reimbursements. 

 

Let me show you how:

 

  1. Select Payroll from the sidebar menu, then choose Contractors.
  2. Click Prepare 1099s and then select Let’s get started or Continue your 1099s.
  3. Select the boxes (1-14) that represent the type of payments made to all of your contractors this year. Most businesses choose Box 7: Nonemployee Compensation.
  4. From the drop-down menu that appears, choose one or more accounts in which these payments are being tracked.
  5. Click Next, then verify that all of your contractors show up and their personal info and email addresses are correct. If you’re missing a contractor, select Add from Vendor list and select any additional 1099 contractors from your QuickBooks Vendor list.
  6. Review the payment totals for each box you selected.
  7. Select Finish preparing 1099s.

For you to know what are the categories included in the boxes, please check this article: Instructions for Form 1099-MISC. I suggest seeking advice from your accountant about what categories that shouldn’t be included.

 

If you're not sure which category to choose for those payments, I suggest consulting an accounting expert to help you choose the right category.
