I want existing contractors to fill out new W9. How do I do this? They have a green check mark meaning old W9 is on file; though in Documents it says Waiting for info

1. How do I send new 2024 versions of W9
2.  Separate question: why can’t I see the current W9? Says Waiting for Info. Even though there’s a green check mark.

Hi there, 555Jonathan.

I'll share details regarding the Waiting for info message and help find a solution.

When you invite contractors to add their W-9 info, their info is saved in their account once completed, and you should be able to view them.

Since there is a Waiting for info message, you may consider re-entering their details manually.

  1. Open the contractor's profile.
  2. Go to the Details tab.
  3. Click the pencil icon.
  4. Try to re-enter the information again.
  5. Tap Save.

If the issue continues, please proceed with contacting our QuickBooks Support Team. They can take a look at the contractor's profile and check for more options available to sort this out.

I'm also sharing this reference to help you manage contractor's W9 forms: Instructions for the Requester of Form W-9

Thank you. I will try that.
what about the first part of my question about wanting to send new 2024 w9s to existing contractors who already have an older w9 on file? How do I do that? Thanks!

Hello there, @555Jonathan. Let me chime in on this thread and provide more details.

To obtain the latest version of the W-9, you can contact the IRS and send it to your contractor. Once your contractor sends it back, you can manually input the information in QuickBooks. You can refer to the instructions provided by my colleague earlier if you need help with this.

Regarding the Waiting for info status in the documents section means that your contractor has not completed their setup. You can check with them to ensure that they have finished the setup on their end.
