Importing updated csv without affecting inventory

Hello,

Our company is using QuickBooks Enterprise Desktop. We are working to do a bulk update on reorder points for inventory items. We exported a .csv file of the entire items list, however, I am concerned that if we export the list --> change the reorder points --> and import the list back in QuickBooks at a later date or time that it will reset the Quantity on Hand for items that were sold during business hours. Is there a way to exclude the Quantity on Hand column of the spreadsheet from being affected when importing back into QB? Can I just delete the column and re-import or will it not import correctly? Any help is appreciated. Thanks!

I'll guide you in importing that file, mhernesman.

When importing inventory items, the quantity on hand (QOH), the value on hand (VOH), and the average cost of the existing items won't be updated. Thus, you can just leave the value of that column blank.

Since you already have your CSV data already formatted for QuickBooks, I'd recommend using the Advanced Import option. Here's how:

  1. Go to the File menu.
  2. Select Utilities, then click Import.
  3. Choose Excel Files, then select No from the Add/Edit Multiple List Entries window.
  4. Select Advanced Import, click Browse, then choose the CSV file.
  5. Follow the onscreen instructions to map and import your data.

To learn how to import customers, vendors, items, and chart of accounts from an Excel spreadsheet in QBDT, you can read this article: Import or export MS Excel files.

I'm just a comment away if you need more help in managing your inventory. Have a nice day!

It appears that updating the quantity on hand cannot be done via an excel template upload process for existing inventory items. Can you confirm?

If this is the case, is there another way other than manually doing so for each item?

I'll give you some information to clarify and provide further guidance about updating the quantity on hand, @YA9.

You're correct that with an Excel inventory template, there's no way to automatically update the quantity on hand for existing inventory items via the file upload process. To update the quantity on hand in QuickBooks Desktop, you'll need to do it manually.

For an alternative to manual adjustments, you can search for third-party inventory management apps in the QuickBooks Desktop app marketplace that integrate with QuickBooks and allow bulk updates or syncing of inventory data.

I've included an article that will guide you in managing your items on QuickBooks Desktop: Add, edit, and delete items in QBDT.

I'm available to assist you with importing your inventory into QuickBooks Desktop. Please reply if you have any questions.
