Thank you for joining here in the Community. Let me address your concern about employees Social Security Number (SSN) in QuickBooks Online.

 

Since the employees don't have an SSN, I suggest to let your employee enroll the Nonresident Alien (NRA) tax withholding. Because of QBO unable to support RNA's, who do not have SSN. Recording Visa Number and ITIN is also not applicable in QBO. Adding NRA employees is only appropriate for Desktop Payroll.

 

Once you already have the SSN, setup the SSN in the employee's profile. And after that, you're able to process transactions in QBO.

 

To determine whether you must set up your employee with NRA, please take time to read IRS publication 515 and 15

Even a foreign entity conducting business in the US has to have a number issued by the IRS

That must be something new, I have yet to see QB stop you from creating an invoice if that information is left blank.

The question was not about employees - it was about the OWNER being a foreign entity and having an ITIN instead of an SSN. 

 

And I have the same problem. We want to use the QBO card payment processing, but for the application it requires the OWNER's SSN and it will not accept the ITIN. Is there not a way to over ride this?

 

The ITIN is supposed to work in place of an SSN for the OWNER of our company, and the ITIN has been accepted for many other things without any issue.

Let me share with you some insights and options about using ITIN and SSN so you'll be able to register.

 

For QuickBooks Payments, it is required for the owner to have an SSN. I'd recommend you contact our QuickBooks Payments support.

 

Here's how:

 

  1. Sign in to your QuickBooks Online Company.
  2. Go to Help (?) at the top right.
  3. Choose or type Contact Us.
  4. Add some information about your concern, then select Let's talk.
  5. Select a way to connect with us:
    • Ask the community to get help from businesses like yours.
    • Start a chat with a support expert.

You have to consider using another payment processor.
