Buy nowI am looking at switching to QBO from QBD.
These are the features I use for invoicing in QBD:
-user roles
-statements
-print and mail in window envelopes
-sales tax report
-duplicate an invoice, then change and save new invoice
-have subtotal item in the invoice
-add an item with percentage rate (I use to apply a fuel surcharge to the line above)
-how many columns are available on the invoice (I need 6 columns)
Are these features available in QBO?
Why should you switch from QB Desktop?
I am going to keep using QBD for bookkeeping but it is only one user.
I am looking for something online to do invoicing so that more that one person can enter invoices.
I am also open to other suggestions for invoicing apps if QBO is not a good option.
What QB Desktop year version? 2024 or older?
Do you only need an app for invoicing and receiving payments?
I am using QBD 2021.
Yes I just need an app for invoicing.
I do not need the ability to receive payments.
I will print and mail the invoices and receive payments by check.
Just checking back, I have not received any answers to my original question.
Thank you for following up, Btks.
It's great to hear you're considering switching to QuickBooks Online (QBO). Yes, all the features you mentioned are available except for adding an item with a percentage rate. Let me lay out each feature below:
Assigning different roles in QBO is available. However, QBO does not provide as detailed control over user permissions as QuickBooks Desktop does. You can refer to our User Roles and Access Rights article for definitions of each available role.
You can create customer statements in QBO and also allow emailing the statements directly to customers.
It's possible to print and mail window envelopes, but QBO is not directly compatible with specific envelope sizes like QBDT. You can instead adjust or customize the template to make it fit properly.
QBO has a tax center, where you can track, calculate, and file sales tax. The sales tax reporting feature works well for different states. You can check this article on how you can set it up: Set up your sales tax in QuickBooks Online.
Adding an item with a percentage rate is unavailable, as items are automatically set to flat rates by default when creating a product or service. Instead, you will need to manually calculate the percentage for each item and convert it into decimals on the invoice.
There is no limit to the columns you can add to an invoice, and you can click the Add Product or Service button to include more
Since you're planning to switch, I recommend checking the QuickBooks Pricing Website to explore the versions and features available for every subscription plan.
Please leave us a response if you have any other questions or concerns.
Thank you for the detailed response. The lack of percentage rates in line items means QBO is not an option for us.
@btks "The lack of percentage rates in line items means QBO is not an option for us."
Good call. Do not move to QBO under any circumstances.
Any other options for invoicing?
Why don't you consider using QB Desktop with multi-user mode as a last resort?
"The lack of percentage rates in line items means QBO is not an option for us."
It seems like a lot of work to find another system just for this one item when it can be easily done in QBO - it's just different than Desktop. The only thing that QB Desktop does is automate the percentage calculation when you enter the discount line item after the subtotal, correct?
In QB Online, all you need to do is subtotal (even easier than Desktop IMO - just click "Add subtotal"), then enter a Fuel Surcharge line item (same as Desktop), and in the 'Amount' box, you just need to enter the equation, and QBO will do the calculation. For example, if you have $125.25 in fuel and want to add a 10% fuel surcharge, click "Add subtotal" after the fuel cost of $125.25, then add a line item called Fuel Surcharge - 10% (or whatever you call it) and in the Amount box type 125.25*.1. That's it. It will look the same as Desktop unless you're doing it some other way, which maybe I'm missing.
