Hi there, jane36.

 

I can see that you're using QuickBooks Online Advanced version based on your concern.

 

The Message on Invoice filed is not one of the available columns in creating batch transactions in QuickBooks Online Advanced. I can see how ideal and great to have this as one of the fields in this area.

 

You may consider adding the Memo field and use it as a place to enter notes instead of the Message on Invoice field in the meantime. Let me guide you where to do it:

 

  1. Go to the +New button.
  2. Click Batch transactions under Other.
  3. Click the Settings icon at the upper-right corner. Then, mark a check inside the Memo box.
  4. Then, Save.

We have been dealing with this very issue for the past several weeks being told many different things after our "sales" rep told us that upgrading to Advanced was the solution to our needs - we invoice one time per year annually and CANNOT add a 2 paragraph MEMO in our batch invoices. It also requires COPY AND PASTE individually!  It would take less time to make the invoices individually using the template that works fine when making ! invoice!  I see messages about this dating back 2 years! We have wasted weeks toward our legally required deadline (we are a property owners associate) talking with many reps not familiar with the program, the glitch or the workaround....which is NOT acceptable! We will definitely launch a complaint, request a refund and change services if this isn't resolved for us right away.  I'm waiting on yet another call back from someone not aware the template message WILL NOT flow over, no matter what we do.  AGAIN, SO MANY WASTED HOURS!

For weeks we have been working with many different reps for several hours at a time, only to find this is the case!  We were "upgraded" because we needed the BATCH INVOICING option!  We were told our template would be applied.  We bill ANNUALLY, and by law, we have to bill at a certain time.  We are now being told that we need to add a MEMO and COPY AND PASTE the content to 700+ invoices!!! This will not LOOK RIGHT (message is too long!!!) and will take us twice as long as if we had created them individually.  WHAT A JOKE!!  I see years of this complaint and NO disclaimer for this anywhere BEFORE your sales team upgrade for features they mistakenly say will be huge savers but don't actually APPLY to this process!  More hours lost on phone with reps that don't even KNOW THIS!!!!  This is a MAJOR issue that should have been resolved long ago.  We will need a better solution immediately or will definitely be requesting a refund and moving our online booking to another platform.  Unbelievable what we have been put through for weeks to have this be the outcome.
