Our Quickbooks online has a lot of Account in the Chart of Accounts that don't appear to have ever been used, or haven't been used in years. Is there a report I can run that will show these accounts so I can make them inactive? We have data since 2016 so there's a lot!
Currently I'm looking at the Register of each account showing "All Dates", this is very time consuming. I would like to find a more efficient way so I can make unused accounts inactive (so that someone doesn't accidentally post to it).
Thank you.
Hey there, @JWhansen.
I appreciate you coming back to the Community with another question. I can show you how to easily get these chart of accounts organized to see the ones that aren't as active as the others.
All you need to do are a few easy steps. Here's how:
Once you see the zero balance accounts, you can put a check in the box beside the name and hit Batch Actions. Afterwards, you'll be able to see the option to make those accounts inactive.
It's that easy!
This should do the trick and make it easier on you and your business. I'm only a comment away if you need me again. Take care!
Candice,
Unfortunately that didn't work. Yes it shows the current QB Balance, but that's only in the balance sheet accounts. All the expense accounts (even those that are used weekly) show a zero balance.
Any other ideas/suggestions?
Thank you.
Thank you for getting back here in this, @JWhansen. I'll share some details about running a report that shows you a list of accounts you need for your business in QuickBooks Online (QBO).
Before anything else, I understand how having this option would make a huge advantage in the company's business. As I've checked on my resources, the option you're trying to access is unavailable. If you want to utilize this feature inside QBO, I can help you send feedback to our Product Development Team. This way, they'll see your feature recommendation and add it to the next product update. To get you going, these are the steps:
To add up, I've got you this article about modifying reports and adding more details to it: Customize reports in QuickBooks Online.
Also, if you want to keep your current report settings and have them carry over the next time you run the report inside QBO, feel free to visit this page: Create, access and modify memorized reports.
@JWhansen, if there's anything else that you'd like me to help you with, please don't hesitate to get back to me. It'll be my pleasure to assist you once again. Stay safe, and have a nice day!
