Is there a way to print vendor mailing labels on QB Online?

Welcome to the Intuit Community, bhamanx

Yes, it’s possible to print vendor mailing labels in QuickBooks Online (QBO).

Let’s first export the Vendor Contact List report to MS Excel. Here’s how:

  1. Go to Reports from the left menu.
  2. In the Search field at the upper right, enter Vendor Contact List.
  3. On the upper right, select Customize, then Rows/Columns.
  4. Select Change columns.
  5. Check the Full Name box and any applicable address information you need, then click Run Report.
  6. Select the Export icon.
  7. Click Export to Excel.

Then, let’s edit the MS Excel file. Here’s how:

  1. Open the Excel file.
  2. Delete all header rows from the spreadsheet. Make sure not to delete the column headings.
  3. Delete any extra leading columns to the left of the Full Name column.
  4. Make sure both Full Name and Billing Address are populated with data for each vendor.
  5. Go to the File tab, then click Save As.

After that, let’s create a mail merge template in MS Word. For detailed instructions, you can check out the Microsoft Office's website.

Once done, you can print it that shows your vendor mailing labels.

For your reference, you can visit this article: Create a Mailing List Using the Contact List Report.

This will get back to your business, bhamanx. Feel free to add a comment below if you have other concerns about QBO. I’ll be more than willing to help. Cheers!

Can you not simply add a button on customer detail screens and invoicing pages to allow a direct printing of the client shipping address? Any other method is clearly a waste of time, you can't answer yes to a question when the answer is actually no. It is faster to write them out by hand than to do a mail merge every time as I have to do 80/100 times per week. Job-invoice-print-pack-ship not an export and mail merge/collate the days work. What about a new client? New export/mail merge every time plus 3rd party software etc. Come on Intuit, I'd be happy with a NO, not this mumbo jumbo - it's frustrating to your clients who just want to print an address.

Hello there, @Jon Black.

I'm here to help you today so you'll be able to print your client's shipping address.

Are you trying to include the shipping address when printing invoices or customer's transactions? If so, you have to fill in the customer's shipping address under the Customer information. Once added, the shipping address will now be included when printing your transactions. Just ensure customize your form to show Shipping. Let me help guide you how.

  1. Go to the Gear icon.
  2. Select on Custom Form Styles.
  3. Locate the form you're using, click on Edit.
  4. Go to the Content column.
  5. Click on the upper part of the preview page.
  6. Put a check-mark on Shipping under Display.
  7. Click Done.

In addition, you also have an option to add a customize field by clicking on Custom field.

I'm attaching these screenshots for additional reference.

Please feel free to add a post/comment below if you have any other QuickBooks questions and if you're referring to something else. I'll be always here to help you!

Completely agree, i don't think they have thought of the design on qbs online at all. Why would you remove this option? and then to create more work on using excel, when the original desktop function worked well? Not impressed with qbs online one bit!

I completely agree with Jon Black, having to do a mail merge simply to print labels is a bunch of junk and loss of time! And I agree with the fact that little thought was put into quick books on -line design. Makes all the more reason to move back to desktop version. Big question is, Is anybody out there in QB management reading any of these replies? Does anybody care? Apparently not. QB asks us to complete a simple survey after getting some assistance. Next time I complete one of these surveys I will definitely not recommend QB on-line. Desktop yes.

Thanks for letting us know there is no easy way to print a label in QB Online. I'll be using the Avery template in a Word document. Much easier.
