Buy nowFor example, my boss has created reports she would like me to see, and believes they should be available in the "custom reports section" without any intervention. We have the same access rights. How is this possible without going into each individual reports and "sharing" it
Custom reports created by one user in QuickBooks Online (QBO) are not automatically shared with others. Each report must be shared individually to be accessible by another user, even if you have the same access rights, Gabriella.
When new users are added, they do not automatically gain access to previously shared custom reports. Only existing users will have permission to view those reports. In such cases, I recommend deleting the existing custom report and then recreating it.
Here's how:
Alternatively, your boss can export the reports to Excel and share those files with you. This allows you to access and review the report data outside of QBO.
I've included a helpful article on how to customize reports in QBO, detailing the steps for changing columns and adding or removing names or accounts to display: Customize reports in QuickBooks Online.

That's terribly inefficient. Why wouldn't the customized reports, that were already shared with another team member, be based on user profile (company admin, standard all access, accountant, etc) rather then by person. What happens when someone leaves and a new person joins the team? All the customized reports are no longer accessible if they weren't previously shared? What is the work around then?
and this has been an issue since at least 2020 and nothing has changed? Who drives development and changes? Because is sure does not seem to be based on the "Feedback" you ask users to submit! This is an easy fix - let's get moving on it.
Another question on this - what happens when an employee leaves and the new hire takes over that function? Are all the custom reports that were created no longer accessible to the new employee as they were created "before" the new employee started by the old employee? What is the work around to that?
Hey there, @Gabriella-DiBlasi.
Thanks for reaching back out and expressing more of your concerns about custom reports.
If the suggestions my colleague provided above don't work the best for you and your business, we recommend submitting feedback to our Product Developers. The more feedback the Developers get on an issue, the more likely it is to be addressed as soon as possible. Here's how:
Feel free to come back around if you have any other concerns. Bye for now!
This has been an outstanding issue since at least 2020, and when you guys have nothing else to say, other then admitting the users are correct, you tell us to submit feedback. Apparently the feedback goes to a black hole since for over 5 years, users have submitted the feedback this is inefficient and should be fixed and nothing has been done.
So no more feedback - fix it!!!
