"Item XYZ" can't be processed since it's attached to a large number of transactions

I am beyond frustrated. For 3 months now, I cannot use QBO properly because there is a bug that prevents any transactions that include items with large numbers of transactions.

 

It all started when I suddenly faced the problem that my syncing software was not able anymore to post my Amazon, ebay, Shopify orders to QBO. First I thought the third party software was the problem. When talking to them they said it actually is an issue on Intuit's end and they are working with them to resolve the issue. The issue arises when an item has a large number of transactions in QBO already. Then any order that contains that item cannot be posted. The workaround provided for this is to create a new item in QBO. This is not a good solution, because once this new item hits a large amount of transactions, you are going to have to create another new item. So you end up having multiple items in QBO for the same item which is inconvenient when you want to pull sales reports.

When calling QBO support they basically ask you a ton of questions whether you cleared your cache, tried different browsers, etc. But the problem is, that it is not even possible to create an expense in QBO if that expense involves that item that has a large number of transactions associated with it. Let's say you purchase your best seller item from your supplier and you want to create the expense for this purchase, you cannot save that expense. This has been going on for 3 months now and QBO just reacts like it's not them. Plus, I just signed up for QB time to track employee hours and overtime and that software is full of bugs as well. It does not track overtime at all and I have to constantly do edits. I am furious how such a big company that raises the subscription rates every 6 months claiming to improve and keep up quality cannot fix these issues in 3 months that are so critical to any small business. I even had to do my sales tax return manually because QBO is useless at this point. Anyone else having this issue? I know from the syncing software support that they have multiple customers facing this issue. I am super frustrated and am looking for an alternative to QBO now. This is ridiculous and I don't even have time to run my business properly now because this buggy software is causing problems continuously. I don't feel Intuit is taking this issue seriously at all and is just ignoring it. If they would be working on it, it would have been resolved a long time ago.

The error message arises when an item has over 50,000 cost lots. Cost lots are created by inventory transactions to manage inventory accounting. This cap is implemented to prevent your QuickBooks Online (QBO) account from experiencing latency issues due to extensive cost transactions.

 

For now, I recommend continuing with the workaround of creating another item for similar products.

 

Moreover, to have the ability to use items for more than 50,000 cost lots, I suggest sending feedback directly to our engineers. That way, they can review it and consider adding it in future product updates.

 

To send your request:

 

  1. Go to the Gear icon and select Feedback.
  2. Enter your comments or product suggestions.
  3. Tap Next to submit.

To resolve the issues with tracking employee hours and overtime, let's verify that your settings are configured correctly:

 

  1. On your QuickBooks Online Company, go to Time and click Go to classic QuickBooks Time.
  2. You'll be routed to a new QuickBooks Time tab.
  3. Go to Company Settings and select Payroll & Overtime.
  4. Choose the OVERTIME tab.
  5. Ensure that the Also calculate daily overtime after box is ticked.
  6. Click Save if any changes are made.
