Job Cost Report

I need to run a job cost report that shows each individiual vendor/supplier for each individual job (IE: I need to know how much we paid ABC Company for job #2022-0001). Is there a way to do that?

Job Cost Report

It's nice to see you here in the Community, @MIchelHMC. I'm here to guide you run a job cost report in QuickBooks Online (QBO).

To achieve this, you can simply run the Project Profitability report and filter the data. Here's how:

  1. In your QBO account, select the Projects menu.
  2. Next, click the project associated with the job and the vendor.
  3. Once opened, go to the Project Reports tab.
  4. From there, select Project Profitability.
  5. Click the Customize button and set the correct date range.
  6. Then, go to the Filters menu and check the box for Customer and select the job name. Tick the box for Vendor and choose the vendor's name. You can also select multiple names.
  7. When finished, select Run Report.

For reference, check out this article: Set up and create projects in QuickBooks Online.

I've also attached this helpful resource to help you classify the transactions to organize the info in your account: Turn on class tracking in QuickBooks Online.

My version, QB Online Advanced, doesn't have a "Projects" tab.  It seems there are so many different styles of interface in Quickbooks that it's difficult to answer questions that have wide application.  How do I get good information?

Let me provide some information about the Project feature in QuickBooks Online Advanced, dpeer.

QuickBooks Online Advanced and Plus have a feature referred to as Projects. I've added a screenshot for your visual guide:

I've also added a comparison chart that will show the project feature included in the QBO Advanced subscription.

Furthermore, you can also check out this page to know more about what you can do with QBO Advanced: QuickBooks Online Advanced Features.

Job Cost Report

Hello,

We just migrated from QB desktop to QBO and the whole migration didn't set up projects for us. Now there is no way to run Job Costs by Job and Vendor Detail report in QBO without adding project under each customer but I can't do that since all the jobs are already in process and we have invoices and estimates for those customers. How to add all that customer data to the project to track vendor payments by each job/project/customer?

Job Cost Report

Welcome to the Community, @Sundus.

Let me help and provide information on how to add all the customer data to the project to track vendor payments by each job/project/customer in QuickBooks Online (QBO).

To start, Jobs move to QBO as a Projects. Some Job fields like email and Bill to address aren't moved. You may refer to this article to learn more about how features and data move from QBDT to QBO. Also, since the project wasn't set up after the migration, you'll have to manually edit those customer data and make sure that it's linked to the project name.

So first thing that you need to do is to create a project for that customer. Here's how:

  1. Go to the left navigation panel and select Projects.
  2. Select New project.
  3. In the Project name field, enter the project name.
  4. Select a customer from the Customer dropdown.
  5. Enter a Start date and End date for the project.
  6. Select a project status from the Project Status dropdown. Note: You can also add more project info in the Notes field.
  7. Select Save.

Refer to this article for more detailed information: Create and manage project in QBO.

Once done, ensure to edit each transaction and then add the project name.

In addition, since you can't run Job Costs by Job in QBO. You can run the Project Profitability Summary Report. Here's how:

  1. Go to Reports, and type Project Profitability Summary in the search field.
  2. Filter the report period and select either Cash or Accrual.
  3. Click Run report.

For future reference, you can check these articles to guide you on how to customize your reports and get the most out of your financial reports.
