Missed 941 Quarterly Reports in previous years.

I have been notified of several missed 941 quarterly reports in previous years.  Can I file these reports through Quickbooks payroll for previous years?

The 941 filing within the program is for this current year. For previous periods you'll need to manually file them outside of QuickBooks Online. 

Please know the system will only retain 941 forms from the previous year. If you require forms before 2023, I recommend contacting our payroll experts to get a copy.


I would recommend running the Payroll Tax and Wage Summary report for reference. It covers all information, including your employee's wages, taxes, deductions, and contributions. 

 

Here's how to run the report:

 

  1. Hover over to the Reports menu. Enter Payroll Tax and Wage Summary in the search bar.
  2. Set your preferred date range, then click Apply.

After you manually file your form from 2023, mark it as filed in the program. Please follow these steps as a guide.

 

  1. Go to the Payroll menu, then head to the Payroll Tax tab.
  2. Select the Filings section.
  3. Locate the 941 form. Press the File option.
  4. Now, hit the Record filing button.

Thanks for returning to this thread, Joseph77. Let me provide a solution to the authentication error you received when trying to file your quarterly reports.

 

The error message, "Authentication Failed. Authentication Ticket Mismatched" occurs when the user logs out of QuickBooks Online Payroll and tries to reply or post in the Community without logging back in.  

 

To resolve this issue, we advise that you log out of QuickBooks Online Payroll and log back in before replying in the Community space.

 

If this doesn't work, access your account again through an incognito or private window. This will help us determine if the issue is related to your browser. Please use the following browser shortcuts:

 

  • Mozilla Firefox: CTRL + Shift + P
  • Microsoft Edge: CTRL + Shift + N
  • Google Chrome: CTRL + Shift + N
  • Safari: Command + Shift + N

 

If the issue is resolved after this, consider clearing your regular browser's cache to refresh your connection and browsing history. Keep in mind to exclude the cookies. Alternatively, you can try using other supported browsers.


This should resolve your authentication error and will let you get back on track. I'd also like to know if you encounter any other concerns with filing your quarterly reports for the previous years so we can address them together.

How do I perform this operation outside of QuickBooks Online Payroll?  None of the commands you mention are in QB online payroll.  I can pull up the report for the missed periods but that is as far as I can go.  The Payroll menu cannot be found.  Neither can the Payroll Tax tab be found.  Nor the select filings tab.  Will you please describe how I can prepare missed payroll reports and file with IRS outside of OuickBooks payroll?

Since you're not using a QuickBooks Payroll subscription, there isn't an ability to file the reports through Intuit. You can check the IRS's website for information about how to file 941 reports for previous years. If you aren't finding enough details on their website, you can always try contacting them as well.

 

In the event you feel you need further assistance with filing reports for previous years, I'd recommend working with a tax professional. If you're in need of one, there's an awesome tool on our website called Find a ProAdvisor. All ProAdvisors listed there are QuickBooks-certified and able to provide helpful insights for driving your business's success.

 

Here's how it works:
 

  1. Go to our Find a ProAdvisor page.
  2. Use the City or ZIP search field to specify a location.
  3. Hit Find a ProAdvisor.
  4. Browse through your results and find one that works best for the business. You can click on each ProAdvisor's profile to learn more information about them.

 

Once you've found an accountant, they can be contacted through their Send a message form:
 

  1. Use the available text box to introduce yourself. Be sure to include details about which services you're looking for.
  2. Enter your information in the Your nameYour email, and Your phone number (optional) fields.
  3. Select Send message.

 

If you choose to subscribe to QuickBooks Payroll, you can do so any time. Afterwards, you can set up your books to pay/file taxes and forms.

I AM using QuickBooks Payroll, Advanced.  The missed Payroll Reports are for previous years when I was also using QuickBooks Payroll Advanced. It is my understanding that I can not go back to a previous and file a report and need to go outside of Payroll.  That is what I am trying to do?  Can you help me do that?

ZackE I AM using QuickBooks Payroll Enhanced.  The problem is that I can not go back and file a missed report for previous years.  The other problem is that we have changed over to QuickBooks Online I assume.  I was previously told I needed to go outside of QuickBooks Payroll to file a missed report for previous years. However the directions do not word because of lack of information.  Will you explain to me what the necessary steps are for performing this function.  It is hard for me to understand why I have to go to a professional accountant to perform these steps.

Thanks for getting back with the Community, Joseph77. I believe I may've found what you're looking for to help you file your reports with the IRS.

 

You can get a copy of your reports by pulling up a tax form worksheet.

 

Here's how:

 

  1. Go to the Reports menu.
  2. Access Employees & Payroll, then click More Payroll Reports in Excel and choose Tax Form Worksheets.
  3. Turn on your macros.
  4. Under White worksheet do you want to create?, pick Quarterly 941.
  5. Enter the dates.
  6. Select Create Report.

 

If you need assistance with filing them, you can refer to the IRS's website. I'd also recommend working with a tax professional to make sure they're filed properly. After filing them, you can use the steps in ShyMae's post to manually mark your forms as filed in QuickBooks.
