Missing Export Data Link

We just migrated to QuickBooks online recently. I went to download the profit and loss  report into excel but i do not see the Export Data option under settings. Has anyone experienced this? Admin  person has the option but  i and the other staff don't . She has given us all the permissions but we still do not see it.

Missing Export Data Link

I'll share information about accessing the Export data option in QuickBooks Online (QBO), @MaureenW

In QBO, it is correct that only users with admin access can see the Export data option. Standard users even those with all access are unable to use this. You can read this reference for more details: User roles and access rights in QuickBooks Online.

As a workaround, you can open the Profit and Loss report and export it there. Here's how:

  1. Navigate to the Reports menu.
  2. Scroll down to the Business Overview section and click Profit and Loss.
  3. Select the Export icon and choose Export to Excel.

For guidance, feel free to check this link: Export your reports to Excel from QuickBooks Online.

It's also easy to make some modifications to ensure the reports you run only show the data you need. For detailed instructions, see this reference: Customize reports in QuickBooks Online.

I'm just a post away from providing additional help if you have other concerns about managing QuickBooks. Please don't hesitate to leave a reply below. Have a good one.

Missing Export Data Link

I can't export a list of invoices for the past quarter.  I read an answer to someone's question that said you need admin access.  how do you get that?

I'm here to share some details on how you can export your invoice list, ReineW.

I'd like to know if you've encountered any prompt message while exporting your data. This way, we can provide an accurate solution to your problem.

For you to export the invoice list, you can request your primary admin to have access as a company admin since they can manage all users and other admin tasks. You can refer to this article for more details: User roles and access rights in QuickBooks Online.

After obtaining access, you can follow these steps for exporting your invoice lists:

  1. Go to Reports.
  2. Search the Invoice list from the Find report by name field.
  3. You can customize the date to show the past quarter.
  4. Then, click Export/Print button.

Furthermore, you can check out this article in case you want to save the current customization of your report: Memorize reports in QuickBooks Online.

Let me know if you have any further questions about exporting your invoice list from QuickBooks Online. I'm always here to help.
