QuickBooks Online (QBO) relies on the information your bank shares, and each bank updates transactions at different times. If your QBO balance does not match your actual bank balance, it could be due to several reasons, such as pending transactions, new entries, duplicates, or changes made to existing records.
The best way to fix mismatched balances is by reconciling your account. Reconciliation means comparing your QBO transactions with your bank statement to spot and correct any differences. Before you begin, ensure your bank statement is ready, especially the ending balance and date.
Here is how to start the reconciliation process in QBO:
As you go through the transactions, you can check for duplicates—these often happen when a transaction is manually entered and also downloaded from the bank feed. If you find duplicates, delete the extra entry or exclude it from the For Review tab under Banking.
Continue matching your QBO transactions to your bank statement until the difference at the top of the reconciliation screen is $0.00. Once the difference is zero, you have successfully reconciled the account. Click Finish Now.
Please note that QuickBooks does not provide a detailed report for duplicate and unpaid expenses, so a manual review is necessary.

It's unlikely that your QBO balance will match your actual bank balance. Any transaction that hits your bank account (deposits, payments received, bill payments, checks, etc.) that have been entered into QBO, but haven't cleared your bank, will cause a discrepancy.
