Need help editing sales tax on Square Sales receipts. Anyone know how to edit the sales tax of a Square sales receipt? I get an error message every time.

With the new Square sync, QB does not generate a sales receipt until I approve the imported sale under the "app imports."  However, once this is done, the sale is then immediately connected to a bank deposit.  I do sales in multiple states and QB defaults to a "depends on location" sales tax record on the receipt rather than itemizing the sales tax for the state specified in SquareUp.  As a result, I have to manually update the sales tax location for every single transaction (once imported to QB). However, with the new app, every time I try to edit the sales tax, I get an error message that the receipt cannot be edited because it is linked to a deposit.  But I do not get a sales receipt until it is linked to a deposit.  I am stuck in a loop that prevents me from itemizing the sales tax, making it impossible to know what  I owe in sales tax to each state.  Anyone out there having the same problem? I have tried to work with QB support but they are completely clueless.  If  I cannot resolve this,  I will need to change bookkeeping programs and I would rather not do that.  Anyone able to help me?

We appreciate you contacting our support agent to get this sorted out. We can edit the transactions directly on the Square app since the sales receipt or deposit will show in the Reviewed tab once you import them. also, QuickBooks depends on what is being sent from Square. You'll want to check your import settings and ensure the sales receipts are correct. You'll also want to contact Square's customer support to help you with this one.

 

When your Square transactions appear in QuickBooks, you’re ready to review and add them to your books. Here's how: 

 

  1. Go to Bookkeeping, select Transactions, then select App transactions, or go to Banking, and choose App transactions.
  2. Tap For review. Your Square transactions appear in the list, with details like product description, quantity, purchase price, and fee breakdowns.
  3. For each transaction, select an action, depending on the status:
  • Add or Match: This transaction is ready to add to your books. If QuickBooks is connected to the bank account you use to deposit Square payments, you can match it to a specific transaction that’s already in your books. Note: To ensure all your sales data from Square gets added to QuickBooks, we recommend you add transactions from the App transactions tab and then match them from the Banking tab.
  • Review: There are multiple transactions in the books that could be the same as the transaction from Square. Confirm which transaction it matches.

 

Once you’ve added transactions, you can review them by going to the Reviewed tab, then choose the sales receipt or deposit under the Added/Matched column. Then, make sure the Sales Tax Settings are correctly set up. If a sales tax is turned on, we will match it and if not, it will be compiled into one line item.

 

We can also add manually add these transactions with the sales tax location to your books by downloading them in a CSV file from Square and uploading the file to QuickBooks. Here's an article you can refer to for more details about connecting your Square account to QuickBooks Online.
