Our customer file is huge and needs to be cleaned up. We have 20 plus years of customers and job info. What are the solutions for deleting years of old customer data?

Are we able to delete our existing customer file and then reimport a cleaned up version?

Just to clarify your question. Are you using QB Desktop or QB Online? If you are using QB Desktop, which year version do you have? Have you explored the Condense Data utility to remove older transactions?

Good afternoon, @officemngr_ML

It's great to see you back in the Community. Let me share some insight into deleting years worth of customer data.

The best route would be for you to start a new company file and import things like the list and open balances. However, you'll have to manually enter any opening transactions. Here's a guide for more details: Starting a new company file with data from your existing file.

If you have any trouble along the way, don't hesitate to ask. We're always here to have your back. Take care!

Thank you for the clarification, @officemngr_ML

My colleague above provided the article as your reference for transferring data to a new company file using QuickBooks Desktop.

Now that you have confirmed that you are using QuickBooks Online, I will provide you with some information about using multiple accounts and cleaning your old account.

You can have multiple QuickBooks Online accounts to run several businesses. Each company file requires a separate paid subscription, but you can access them using the same login information. It allows you to switch between organizations fast to handle things more effectively.

In QuickBooks Online, merging two companies isn't possible, but if you want to consolidate and compare your QuickBooks firms, check out Qvinci Consolidations, our authorized 3rd party tool.

Check this article to learn more about the process: Create or add another company file to QuickBooks Online.

Once done transferring all the files, you can try to run a report to check all your data. Refer to this article for the steps: Run reports in QuickBooks Online.

If you need further help creating another company file, click the Reply button below. I am always here to help.

@officemngr_ML

There is no condense feature for QB Online. You may have some options to consider:

1. Utilize a deleter tool

https://transactionpro.grsm.io/qbo

2. Convert your data to QB Desktop file, run the Condense Data utility to remove unneeded data on the trial license for QB Desktop, then open a new blank QBO account to migrate data from the condensed file.

2. Open a new blank QBO account and migrate the data you only need to manage from the old account.

3. Open a new blank QBO account and purchase a 3rd party migration service to assist you. You can also ask to migrate certain data types e.g attachments, estimates, multi currency.
