Quick books “having your back” would be more believable if customer service were open past 6pm or on weekends. For small businesses who do not have a full time accountant, quickbooks limited hours of customer service operation is a major strike against it.
This answer simply states the current requirement. It says nothing as to the REASON qbo does not make the accounting change automatic when the bank information change is made in payroll. This reply is a NON ANSWER.

In QBO there is an entirely different section in your settings for Payroll. This is where you set up your Federal and State taxes, the payroll bank account you're using for tax payments and payroll checks, etc. If you do not update the banking information in these settings when you change your bank account, then QBO will continue to take the money from the account you established in there. Please note: You need to make sure that you have no outstanding tax payments or payroll checks before you update this account so be sure all transactions have cleared that account first before making any changes. Also note that before you can begin using this new bank account that QB has to verify your new bank account which can take from 1-3 days. When you start using the new account and you run payroll, check the top of the screen to make sure you select the correct/new account the money is coming from. Hope this helps someone out there! Hi Noah. I found a workaround. I used the "old account", as the expense category in the downloaded bank transaction and it created a defacto journal entry of a debit to the [in my case] default cash account and a credit to my actual bank account. I was then able to reconcile both accounts.

its matching thru the correct bank acct but also withdrawing it as well from an inactive acct. This inactive acct is in a negative
I have had to do a transfer of funds from working acct to 'wrong' acct - bring that balance to 0
then 'match' the transfers in my bank feed

If it's the correct account but was posted to the wrong bank, let's ensure to correct this on your payroll preference. Then, enter payroll manually as journal entries. To ensure the accuracy of the amounts, you can generate a payroll report as a point of reference. This will allow you to utilize the information during the account reconciliation process.

Agree with all these comments. Just succeeded in merging the new bank account "made up" by Quickbooks when I initiated automatic download with the bank account I actually use, and this seemed to work. Hopefully I won't have this problem next payroll period
A major fail. Desktop version allows users to change accounts on anything. On-line version doesn't. Makes for very frustrating hours when a user makes an error. Too unforgiving.
Having the same problem with payroll tax payment - paid it on-line myself, but had to say I printed a check. Now, I can't change that.
I am having this problem also. Intuit Payroll is posting payroll to an old account. It took a few months for me to realize this was happening but I resolved it by unreconciling back to the month, then going into AR and changing the bank from the old bank to the new bank. I then went into reconciliation and deleted the transaction I put in there to help reconcile. I don't need that now because AR will put the Payroll transaction into my reconciliation page. Then just reconcile as usual. Continue to the next money. You can do all the months that were in error at once but I prefer to do them one month at a time just to keep all straight. Hope this works for you. I'm in desktop Enterprise.

I have changed my default bank in Preferences under "checking" but in Preferences, checking, company preferences there is a "Open the Pay Payroll Liabilities form with: There is no selection for a Business "NON-Pay" Account. how do I change this from my old bank "non-pay" account (which is not listed in the drop down menu) to the new bank "non-pay" account. Where is this coming from?

Almost 4 years later and still no solution. Pathetic. Quickbooks is awful!
I have a great idea. How about the Quickbooks Team stops posting these incredibly idiotic, generic responses that don't actually resolve a very concerning issue that 100s of users have posted about online and actually figure out a real fix. We all know how to fix it going forward... the issue is when you already made the mistake that quickbooks shouldn't even allow to happen in the first place. Then the payroll posts to one bank account and actually gets funded out of another. Why even allow a user to select a separate "accounting" account? It should match the actual account funding the payroll. How hard is it to just allow users to click on a check and change the "accounting" account after the payroll is posted? Seems really simple.

If you are using QuickBooks Online (QBO), the system moves all the data into the one you want to keep and removes the duplicate when you merge accounts. Our recommendation will depend on which one you prefer to retain and continue using in the program. If you want to continue using the account connected to bank feeds, we need to merge the old bank account. This depends on your preference in managing the chart of accounts.
We can still link the old one to online banking if you prefer to retain it. Let's make sure to choose the existing old account when connecting the account to bank feeds to avoid duplicates. I cannot even set the correct account because I have several accounts connected and the all say ********** without even showing one single digit to be able to choose the correct one. Genius
Also the "merge accounts" option will not work because I use both the account that's wrong and the account that is right

Hello.
We have been paying our employees and contractors via Direc Deposit of our main bank account but the payments were recorded in 2 bank accounts. I cant use the balance sheet because one of the accounts is in the negative. Why would QBO record payment to my other bank Account when it was never the case. I cant delete the duplicated Direct Deposits. Why QBO, why? I been going to bed 2 to 3am for the past month. People have been posting about this since 2018. I already reconcile all my accounts and delete my work, re do all the matching and still I cant get rid of the duplicated direct deposits. This is suppose to be easy not so fustrating.
