Print items in group that are hidden

I regularly create estimates where everything is in a group (I call it Contract Progress Billing). That group has "Print items in group" unchecked so that when I create progress invoices for the client, they don't see the details.  The contracts are lump sum contracts, so they have no need nor right to see the details, but I want to be able to get reports that show revenue against costs, so I use this group to achieve all that. The problem comes when I have a similar job that I need to estimate, and I want to use a previous estimate as a go-by (items and quantities, mainly). I want to print previous estimates for internal use that show all the details inside that Contract Progress Billing group. Anybody know a work around? Currently, I have to open the old estimate, take a screen shot of ~10 lines, close it, open the new estimate, etc etc. TEDIOUS to say the least.

I can help you with generating a report that suits your needs, @whighfill.

 

I recommend generating the customized Job Estimates vs. Actuals Detail report for this. 

 

Here's how to run the report

 

  1. Go to the Reports menu, then hover on Jobs, Time & Mileage
  2. Select Job Estimates vs. Actuals Detail.
  3. Click the Customize Report button and then proceed to the Filters tab.
  4. Under Current Filter Choices, highlight Name.
  5. From the dropdown menu, select All customers/jobs.
  6. Under Display, uncheck all of the boxes except Est. Revenue and Act. Revenue
  7. Click OK

 

This will show a detailed view of your revenue from your items. You can click on the amounts to show the transactions.

Thanks. I am very familiar with the Job Estimate vs Actual Details report. The problem with it is that it does not show the quantity, which is one of the things I originally said that I needed. So I can't print (or pdf) the report and have it off to the side to quickly refer to while I build a new estimate. I would have to continually toggle back and forth and drill into each individual line item to get the quantities. That's inefficient.

Being able to run a report that shows the quantity of each item in a group used in estimates would be helpful and efficient. In the meantime, you'll have to open each estimate to see each details. I have the same issue - it seems like it would be so simple to print out a detailed Estimate for internal use - as it's clear as day on the computer screen.  I don't understand why this isn't an option.
