Join nowIn earlier versions of Quickbooks, I was able to specify which page(s) I wanted to print from a multi-page report. For example, year to date P&L Actual vs. Budget report shows monthly columns, with a total for the year. Each month, that report gets longer. I only need to print the current month and YTD total info. When I am on the print menu, if I specify to print only page 12 of the 12 page document, or specify to print pages 12-12, or 12-999, Quickbooks prints the full report, all 12 pages. I throw away all the pages except 12. I was able to save paper and ink by using Print Preview, seeing the page(s) I needed, and just printing them. Not anymore. Any ideas? I am using QuickBooks Pro 2020, desktop.
It's nice to see you here, @ArtMoney,
If the reports in QuickBooks does not print correctly, try to run the Verify/Rebuild Utility. This built-in tool automatically fixes minor company file data issues like the one you see when running reports.
Here are the steps to do it:
For your reference, see the following link to learn more about this tool: Resolving Potential Data Issues
Once done, try printing the receivable reports and see if the data changes. Also, make sure you're using the latest Adobe version for QuickBooks to avoid printing issues.
Kindly update me with the result. I want to make sure this is resolved and you're able to print the reports with the right pages.
Hi, Jen_D, thank you. I tried your suggestion and it didn't work. The Verify Data utility found no problems. The problem I am having is not with Receivable reports, but is with Profit & Loss Actual vs. Budget, and I think other multi-page reports. I sometimes only want to print one page of a multi-page report but Quickbooks prints the entire report. If you would like to duplicate it, here are the steps. I would love to get it resolved, so hope you can help!
1. Create a Profit & Loss Actual vs. Budget report, with sufficient data to populate several months (6 months so far in 2021).
2. Select print, choose settings for Portrait and Fit To One Page High.
3. Preview the print, so you can see how many pages the entire year will fill. Make a note of the last page in the report, because that's the only one you want to print. (At this point, because I want to print only the most recent month and YTD, I sometimes have to change the width of at least one column. However, that has no effect on the outcome. I have the same problem regardless of column width.)
4. Select only the last page number for printing (page 4 - 999 for example).
When I do all this, Quickbooks prints the entire report. I have to throw away all the unnecessary pages. In previous versions, I was able to control which pages to print. I have used QB desktop over 20 years and miss that functionality.
Thank you.
Thank you for the response and for providing us with more details with printing your reports, @ArtMoney.
To further isolate what’s causing the error in printing your report, I suggest running the QuickBooks Print & Print Repair Tool from the QuickBooks Tool Hub. This will help troubleshooting errors like this when printing your reports.
To download the QuickBooks Tool Hub:
Once you’re done, open the Tool Hub to run the QuickBooks PDF & Print Repair Tool:
Refer to this article for more information about this Print Repair Tool that I’m referring to: Troubleshoot PDF and Print problems with QuickBooks Desktop.

I'm sorry to say that neither of these suggestions changed the outcome. I wonder if it's a program bug? Please create and print a Profit & Loss Actual vs. Budget report. Try to print one isolated page of a multi-page report, to see what I'm experiencing. It would be great to get it fixed! I miss that function from earlier versions. Thank you.
I appreciate you performing the troubleshooting steps shared by my colleague above, @ArtMoney.
Since none of the provided troubleshooting steps worked for you, it'd be best to contact our Technical Support Team. This way, they can further investigate this matter and create an investigation ticket if other users are experiencing the same.
Here's how to reach them:
You can also use this link to contact them directly then choose what edition of QuickBooks Desktop you're using. Refer to the screenshots below for visual reference.
Also, QBDT provides different reports that cater to your business needs. If you wish to learn more about how the system generates your reports, I'd recommend checking out this article: Understand reports. It also includes a table where it lists all the available reports in QBDT and their description.
You’re always welcome to post in the Community space whenever you have other follow-up questions or any other concerns about QBDT. I’ll be around ready to help you. Take care and stay safe.
Verify and Rebuild won't find or fix anything that has to do with the layout and printing of reports, which in turn is part of the QuickBooks application, not the company file.
There's nothing wrong with your company file that could cause what you're seeing, which is a bug Intuit has - apparently - chosen not to fix for many years. It was easy enough to reproduce.
I tested several version of QuickBooks and found that it works correctly in QB 2017 / Enterprise 17.0, but Intuit broke it in QB 2018 / Enterprise 18.0 and all newer version years of QuickBooks up to QB 2021.
The error happens when you have a report and you choose the option to Fit the report to 1 page high (or any number of pages, probably), and that choice actually does shrink the report, which was taller than a page. When this happens QuickBooks just ignores the Print Range and prints the entire report.
An engineer probably broke it and didn't notice, and then no one actually tested the change properly afterwards. It's likely that all Intuit has to do is go look at the code in QB 2017 and see why it works, then look at the current code and see how it's different and change it back to the way it was. It would probably take a few hours to fix, since they have working code at their disposal. Any junior engineer could do it.
Thank you, I agree. I will continue to work this through the Quickbooks Help process, hopefully they'll patch it.
Hi, Joesem M - Can you please escalate this issue within Quickbooks? I think you have better access and attention of the technical people and can share with them my initial inquiry plus the comments from BigRedConsulting, who was able to reproduce the problem and provided good analysis of it. The process of filling out their ticket etc. is complicated and time consuming, and keeps me from my real job.
Thank you.
PS When I try to print the thread, there are program glitches that cause overlapping text so it's not even easy to print out your instructions. That problem occurs with both my Print command as well as using your "Print friendly" command. That could probably be improved too but my main priority is this initial issue of wasting paper and ink due to a broken print command for reports. Thank you.
